We are seeking a proactive, detail-oriented, and highly organized Real Estate Assistant to support a busy and growing real estate team in Long Beach, NY. This role is all about quarterbacking the team’s operations—coordinating transactions, managing logistics, and ensuring clients receive exceptional service throughout the buying, selling, and leasing process.
This is an in-person role, based in the office 4–5 days per week.

Key ResponsibilitiesAdministrative & Office Operations
This position is key to keeping our office going.
- Maintain key inventory and showing access (via ShowingTime, lockboxes, etc.)
- Manage office operations: order supplies, organize listing packets, oversee open house signs & QR codes
- Responsible for office cleanliness and functionality (copy machine, printing, signage)
- Handle P&L, expense tracking, and liaise with accountant
Listing, Transaction & Marketing Support
This role is integral to every part of the client lifecycle.
- Respond promptly to inbound inquiries and hotline calls
- Assist in preparing listing presentations (property research, comps, tax history, purchase info)
- Manage transaction paperwork and data entry
- Provide key insights and weekly update emails for active listings and prospects
- Implement reverse prospecting strategies and review listing activity and new inventory
- Schedule and coordinate showing appointments, team calendars, and team meetings
- Coordinate photo shoots, surveys, appraisals, inspections, and walkthroughs
- Prepare and send offer letters, deal sheets, commission and transaction-related forms, leases and referral agreements
- Manage due diligence process, including requesting building financials, pulling building department files, and obtaining flood insurance quotes
- Manage post-closing reviews, and testimonials
Client Engagement & Concierge Services
We provide white glove service at every step of the process.
- Act as primary point of contact for all clients including proactive communication and outreach
- Help clients source service providers (movers, handymen, utility transfers, etc.)
- Coordinate and deliver client gifts, reports and outreach at key milestones
- Help plan and coordinate monthly events to engage clients and community
Qualifications
- Prior experience in real estate, office management, or client service strongly preferred
- Process-focused, highly organized with strong attention to detail
- Ability to manage multiple deadlines and competing priorities
- Computer savvy, proficient with Google Workspace
- Excellent written and verbal communication skills
- Self-starter with a “no task too small” mindset
- Comfortable with CRM, calendar management and scheduling software
- Trustworthy with sensitive information and client data
Preferred (but not required)
- Real estate license or willingness to obtain
- Familiarity with project management software
- Event planning or hospitality experience
