The Junior League of Jacksonville is seeking a highly organized, detail-oriented part-time Office Administrator to support daily operations, member services, and facility management at Riverside House. This role is central to ensuring smooth administrative functions, strong member communication, and successful League events.
KEY RESPONSIBILITIES
Office & Facility Management
- Coordinate day-to-day operations and maintenance of Riverside House, including vendors (cleaning, HVAC, landscaping, pest control, repairs, etc.)
- Manage office supplies, equipment, and service contracts; identify cost-saving opportunities and obtain vendor quotes as needed
- Handle incoming calls, emails, and mail; respond within 1–2 business days
- Assist with mailings, check distribution, and record keeping
Administrative & Member Support
- Serve as a key administrative liaison to the President and Board
- Maintain member database (updates, new members, transfers, dues tracking)
- Support member inquiries and direct communications appropriately
- Manage correspondence, tax-exempt documentation, and donation acknowledgments
- Assist with dues processing and reporting
Meetings & League Activities
- Coordinate logistics for League meetings and events (materials, name tags, setup)
- Support communication and mailings for key events (Annual Meeting, luncheons, etc.)
- Update rosters, directories, and internal systems annually
Fundraising & Events Support
- Assist with fundraising events including ticket sales, communications, and mailings
- Coordinate receipt and tracking of auction items and materials
Facility Rentals & Scheduling
- Manage Riverside House rental calendar, inquiries, and bookings
- Conduct tours, prepare agreements, and coordinate event logistics
- Process payments, deposits, and refunds; oversee event staffing coordination
General Operations
- Prepare staff schedules for events and building use
- Maintain accurate records and ensure timely communication across stakeholders
QUALIFICATIONS
