Role Summary
We are seeking a Legal Practice Assistant to provide high-level administrative and secretarial support to a team of four attorneys. This role is essential to maintaining the efficiency and organization of legal operations, ensuring attorneys are supported with accurate documentation, scheduling, and client communications.
You will manage calendars, coordinate travel, prepare legal documents, and handle billing and time entry. The ideal candidate is detail-oriented, highly organized, and experienced in legal terminology and processes.
Key Responsibilities
- Schedule meetings, reserve conference rooms, and coordinate meals and travel arrangements.
- Prepare itineraries and process travel expense reports.
- Draft and process new matter documents and legal correspondence.
- Manage time entry and coordinate billing with the accounting department.
- Maintain paper and electronic files in compliance with firm policies.
- Handle incoming and outgoing mail, including specialized services and faxes.
- Maintain attorney calendars and manage scheduling conflicts.
- Support attorneys with administrative tasks and document preparation using legal software.
Key Requirements
- 5 years of experience as a legal secretary or practice assistant.
- Strong knowledge of legal terminology, documents, and processes.
- Accurate typing speed of 70 words per minute.
- Proficiency in MS Office and legal software for document management, time entry, and e-filing.
- Excellent proofreading and organizational skills.
- Ability to manage time effectively and work independently or as part of a team.
- Must be able to work onsite at the Indianapolis office.
Preferred Qualifications
- Prior experience in labor and employment law.
- Proficient in electronic filing in both the state and federal courts here in Indiana.
