We’re looking for a Human Resources Specialist to join our Operations Team and play a key role in supporting our Ecosystem staff who are the heart of everything we do. Primary Function: This role is responsible for managing core Human Resources functions with a focus on organizational compliance with state and federal labor laws, workplace safety regulations, and internal policies.
Essential Functions:
Personnel Functions and Record-Keeping
- Schedule and prepare documentation for both employee and Contractor onboarding and offboarding.
- Schedule and prepare documentation for all Employee Evaluations, ensuring timely completion and filing of paperwork.
- Manage employee record-keeping, including Personnel Files and completion of all documentation. This includes but is not limited to: All policy documents, Leave Requests, salary changes, benefit usage or change forms, and disciplinary documentation.
- Conduct open enrollment processes (health, dental, vision and other benefits), including updating deduction sheets and maintaining all records.
- Under the oversight of the Senior Director of Operations, manage all aspects of the TIC hiring process. This includes, but is not limited to:
- Posting job openings internally and externally in collaboration with the Communications Team.
- Management of applications and resume review.
- Work with hiring managers to schedule phone and/or in-person interviews with various staff and applicants.
- Organize interview content, hiring rubrics, and reference checks.
- Prepare offer letters.
- Under the oversight of the Senior Director of Operations, manage all aspects of the TIC hiring process. This includes, but is not limited to:
Compliance/Safety
- Post annual DOL posters and other materials to ensure policy updates, ADA compliance, safety and OSHA compliance.
- File Workers Compensation claims as needed with relevant paperwork.
- Stay informed of state and federal regulations as it pertains to Human Resources and workplace safety and collaborate with TIC Staff to ensure compliance.
- Sit on the Handbook Task Force each year to assist in policy updates.
- In collaboration with the Superintendent of Facilities, assist in conducting safety drills such as Emergency, Fire, and Weather drills.
Preferred Knowledge, Skills, and Experience:
- Between 2-5 years experience with Human Resources functions.
- Record Management: Ability to implement and maintain accurate personnel information, including digital and physical records. Proficient in organizing, maintaining, and securing employee data to meet legal and organizational requirements.
- Human Resources Systems Execution: Ability to execute Human Resources systems and procedures with accuracy, attention to detail, and follow-through. This includes the ability to manage long and short-term processes such as hiring, terminations, onboarding, offboarding procedures, benefits administration and performance management.
- Benefits Administration: Ability to manage employee benefit programs including but not limited to various insurance policies and PTO/leave policies. Demonstrates skill in explaining complex benefit options to employees clearly and confidently, and in supporting staff to make informed decisions. Communicates clearly and in a timely manner with benefit brokers and vendors to maintain relationships and accurate records.
- Regulatory and Legal Compliance: Demonstrates large scope of knowledge of local, state, and Federal laws and regulations (FLSA, ADA, FMLA, EEO, etc.). This includes the ability to maintain compliance in hiring, compensation, termination, and workplace safety, taking up-to-date legislative changes into account frequently.
- Workplace Safety and Risk Management: Demonstrates large scope of knowledge of safety compliance. Ability to maintain organizational safety compliance including documentation of safety protocols, conducting fire and emergency drills, and managing workers compensation claims. Implements safety training and ensures appropriate follow-up and communication with employees.
- Confidentiality and Sensitive Information Management: Demonstrates ability to handle sensitive personnel data, conflict situations, and employee concerns with discretion and care. Knows which information must be private, how to store it securely, and how to communicate within appropriate boundaries.
Physical Demands and Work Environment:
- Ability to occasionally lift 15 lbs-50 lbs.
- Ability to remain in a stationary position with computer work.
- Must be able to move about various office environments to access office machinery, products, and to communicate with staff.
- Ability to occasionally commute within the region.
- Must be able to reach/access products on high shelves.
