This position also plays a key role in compiling client progress reports, managing document control workflows, and ensuring that all project files, RFIs, submittals, drawings, and specifications are tracked and distributed efficiently. Key Responsibilities
- Perform manual input of schedule data into project management platforms.
- Update timelines, task statuses, milestones, and dependencies as directed by project leadership.
- Generate purchase orders based on provided scopes, requests, or direction from project teams.
- Conduct manual processing and routing of invoices for approval.
- Track PO and invoice status to ensure timely review, approval, and payment coordination.
- Compile data and documentation needed for recurring client progress reports.
- Assist the project team by assembling reports in a clear, concise, and professional format.
- Maintain reporting templates and ensure consistency across client deliverables.
- Manage all incoming and outgoing project documentation between the company, client, sub-vendors, and sub-fabricators.
- Maintain organized, structured filing systems and ensure document accuracy, version control, and accessibility.
- Track and distribute RFIs, submittals, drawings, specifications, and other project documents as required.
- Serve as primary owner of all document organization on the company side, ensuring nothing is missing, outdated, or misfiled.
Qualifications
- Prior experience in document control, project coordination, or administrative support preferred.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple tasks and deadlines in a high-volume work environment.
- Proficiency with project management, scheduling, and document control software (or willingness to learn). Familiarity with P6 a plus.
- Strong written and verbal communication skills.
