Job Overview
We are seeking a detail-oriented and organized Accounts Payable / Accounts Receivable Clerk to join our finance team. This role is essential in maintaining accurate financial records and ensuring timely processing of invoices and payments. The ideal candidate will have a strong understanding of accounting principles and experience with Sage/PeachTree accounting software.
The Housing Foundation provides affordable housing and support services for Maine families, seniors and disabled adults. The AP/AR position is an intracule part of this team. The assigned duties pertain to multiple entities and locations with many moving parts. This position will work hand in hand with the Finance Director and the Executive Director.
Responsibilities
- Process accounts payable and accounts receivable transactions accurately and efficiently.
- Responsible for the preparation and issuing of accounts payable checks, including examination of bills, proper authorizations, and processing in Sage/PeachTree.
- Perform monthly account reconciliations to ensure accuracy and resolve discrepancies.
- Record daily cash receipts for all entities into Sage/PeachTree.
- Assists with the preparation and submission of payroll on a bi-weekly basis.
- Maintain vendor relationships and respond to inquiries regarding invoices and payments.
- Responsible for tracking the measurable consumption at various properties, including oil, gas, electric, water and sewer.
- Accounts Payable filing in a timely manner.
- Responsible for pursuing Bad Deb Collections with a 3rd party agency or residents.
- Monthly reconciling and billing of postage, copier and mileage.
- Maintain and reconcile Petty Cash.
- Utilize accounting software (PeachTree) for transaction processing and record keeping.
- Utilize payroll software (Bangor Payroll) for transaction processing and record keeping.
- Perform other such duties as assigned.
Experience
- Proven experience in accounts payable, accounts receivable, or a similar role is preferred.
- Familiarity with bookkeeping principles is essential.
- Proficiency in using accounting software, including Sage/PeachTree, is highly desirable.
- Familiarity with Bangor Payroll software is desirable.
- Strong analytical skills with attention to detail for accurate financial reporting.
- Efficient in Excel spreadsheets.
- Excellent communication skills to effectively interact with vendors, clients, and team members.
- Organized, self-starter and ability to multi-task.
- Prior office experience with regards to working with others, answering phones and greeting walk-in tenants or applicants.
