Clinic Manager

What You'll Do

Clinical Oversight & Quality Assurance

• Monitor daily service delivery across caseloads for treatment fidelity and adherence to individual treatment plans
• Observe RBT and Lead Therapist sessions and give immediate, constructive feedback
• Ensure accurate, consistent data collection in Passage EHR
• Support BCBAs by flagging concerns about treatment effectiveness or behavior incidents
• Review session notes and documentation for completeness and payer compliance
• Serve as the first point of contact for clinical concerns raised by staff or families during clinic hours

Staff Leadership & Mentorship

• Train and mentor a minimum of two Lead Therapists through structured shadowing and coaching
• Build staff skill in session management, data collection, parent communication, and clinical decision-making
• Model professional conduct, session structure, and behavior management for less experienced staff
• Support onboarding and orientation for new RBTs and clinical staff
• Share performance observations with the Clinical Director and help identify growth areas

Scheduling, Staffing & Hiring Support

• Build and manage the weekly staff schedule; close coverage gaps before they affect service delivery
• Manage last-minute callouts and same-day session coverage
• Coordinate onboarding logistics — orientation scheduling, materials, floor shadowing assignments
• Conduct phone screenings for RBT and Lead Therapist candidates and participate in in-person interviews
• Track staffing levels against caseload growth and flag hiring needs early

Administrative & Operational Duties

• Maintain accurate Passage EHR records for session assignments, coverage changes, and staff activity
• Verify staff certifications and competency milestones before therapists take on client assignments
• Monitor staff hours, session completion, and billable activity for Clinical Director review
• Support compliance with BACB, HIPAA, and payer-specific requirements
• Keep clinic rooms stocked, organized, and client-ready through routine walk-throughs
• Serve as on-site manager during operating hours, providing real-time direction and accountability

Family & Client Communication

• Maintain warm, professional communication with families about scheduling, sessions, and clinic operations
• Escalate clinical and behavioral concerns to the supervising BCBA or Clinical Director promptly
• Support parent training sessions as directed by the supervising BCBA
