 Job Summary: The Clinic Operations Manager provides operational leadership for all clinic locations, ensuring an exceptional patient experience while supporting physicians, team members, and organizational goals. This position is responsible for leading clinic operations, developing high-performing teams, driving continuous process improvement, and ensuring efficient, compliant, and patient-centered care delivery. The Clinic Operations Manager partners closely with physicians and organizational leaders to achieve operational, financial, and quality objectives. 


 Primary Job Responsibilities:

1. Leadership

a. Leads daily operations across all clinic locations

b. Develops, coaches, and mentors pod supervisors and other team members. 

c. Creates a culture of accountability, teamwork, professionalism, and service excellence. 

d. Conducts regular rounding with physicians, staff, and patients to identify opportunities for improvement. 

e. Addresses performance concerns promptly through coaching and corrective action when appropriate.

2. Operational Excellence

a. Ensures efficient clinic workflows that support timely access, patient safety, and exceptional patient experience. 

b. Identifies operational challenges and implements sustainable process improvements. 

c. Monitors clinic productivity, throughput, provider utilization, and operational performance metrics. 

d. Leads implementation of organizational initiatives, new programs, and operational changes.

3. Team Member and Physician Partnership

a. Serves as the primary operational partner for pods. 

b. Collaborates with physician and executive leadership to resolve operational issues and improve clinic performance. 

4. Patient Experience

a. Champions an exceptional patient experience by identifying barriers to care and improving service delivery in collaboration with Patient Experience Manager. 

b. Responds to patient concerns and escalated service issues with professionalism and urgency. 

5. Financial Responsibility

a. Participates in development and management of departmental budgets.

b. Identifies opportunities to improve efficiency while maintaining quality and service.

6. Quality & Compliance

a. Ensures compliance with organizational policies, regulatory requirements, OSHA, HIPAA, and accreditation standards. 

b. Promotes a culture of safety and continuous quality improvement.

7. Metrics

a. Reviews operational dashboards and key performance indicators including patient access, scheduling, patient satisfaction, productivity, staffing, and financial performance. 

b. Uses data to identify trends and implement measurable improvements.


Requirements

  

Desired Education: Bachelor's degree in Healthcare Administration, Business Administration, Nursing, or related field preferred. Equivalent combination of education and progressively responsible healthcare leadership experience may be considered.
 

Desired Experience: Five or more years of progressive healthcare operations leadership, including supervision of multidisciplinary teams. Multi-site ambulatory practice experience preferred.

Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
 

Work Hours: Most work is during office hours. Occasional evening and weekend work, as necessary.
 

Work Environment: Clinic office, well lighted, well ventilated. Work may be stressful due to a busy office. Continual interaction with others.

The noise level in the work environment is usually low to moderate.
