What are the responsibilities and job description for the Administrative Assistant position at The Honors Course?
Core Responsibilities
- Proven experience in an administrative role or similar capacity.
- Excellent organizational skills with a keen attention to detail.
- Effective time management abilities to prioritize tasks efficiently.
- Accurately code all invoices with detailed descriptions of purchased items (equipment, location, purpose, etc.).
- Scan and electronically file invoices into the office computer system
- Must be proficient with Microsoft Word and Excel
- Maintain records of purchases for fuel, chemicals, fertilizer, and equipment repair/maintenance.
- Maintain up-to-date cost of repair for large equipment fleet.
- Track and record average weekly hours worked by each employee.
- Manage new employee onboarding process, including intake paperwork and completion of I-9 forms.
Errands & Deliveries
- Must have a valid driver's license.
- Must be able to lift 50 pounds.
- Must be able to drive a manual transmission vehicle
- Pickup and deliver items for mechanics from various vendors using company vehicle.
- Collect company mail at least three times per week.
- Pickup employee meals from the clubhouse Tuesday–Friday at 11:20am.
- Ensure meal areas are cleaned after each use and return any containers promptly to the clubhouse.
Inventory Management
- Conduct weekly inventory of kitchen supplies, including:
- Paper goods (napkins, hand towels, toilet paper, plates, bowls, etc.)
- Cups, coffee, filters, cream, sugar, condiments, utensils
- Conduct weekly inventory of PPE supplies, including:
- Gloves, nitrile gloves, safety glasses, ear plugs, etc.
- Maintain office supply inventory, including:
- Printer ink, office paper, pens, notebooks, etc.
Kitchen & Food Area Maintenance
- Keep refrigerator clean and free of expired food.
- Properly store food items after each meal in the refrigerator if necessary.
- Ensure all excess food is cleaned up daily.
Flexible Hours
- Can begin work from 7am-9am and work 4-5 hours. Must be able to pickup meals for staff at 11:20am Tuesday-Friday.
Job Type: Part-time
Pay: $16.00 - $18.00 per hour
