Administrative Assistant

Our client, a leading firm in the financial space, is seeking a highly motivated Administrative Assistant to join their dynamic team on a 6-month contract role. This pivotal role provides crucial support to two senior leaders, ensuring the smooth operation of daily activities and the seamless coordination of meetings and events across multiple departments. The ideal candidate will be organized, proactive, and adaptable, with a passion for supporting busy executives in a fast-paced environment. Compensation

$30 - $33 per hour

Responsibilities

  • Facilitate the creation of PowerPoint presentations for department and business unit leaders, ensuring clarity and professionalism.
  • Coordinate and prepare agendas for meetings involving U.S. and international teams, promoting effective communication.
  • Schedule weekly planning sessions with senior leaders to optimize their calendars for meetings, conferences, and strategic discussions.
  • Collaborate with the audiovisual team to guarantee smooth execution of internal and external meetings and events.
  • Enhance meeting efficiency by providing logistical support and gathering feedback from participants.
  • Compile and distribute various departmental reports, tracking project statuses and key metrics.
  • Support onboarding processes for new hires and transfers, including equipment procurement.
  • Process expense reports for department leaders, ensuring adherence to company policies.
  • Arrange catering and logistical arrangements for meetings and special events, managing vendors as needed.

Requirements

  • Bachelor’s degree complemented by 3-6 years of experience in an executive support or operations role within an investment management environment.
  • Proven ability to coordinate complex schedules for multiple senior leaders, juggling conflicting priorities with ease.
  • Strong project management and organization skills, capable of managing multiple tasks simultaneously.
  • Excellent written and verbal communication skills, with the ability to interact effectively with diverse teams and stakeholders.
  • Detail-oriented with strong problem-solving skills and a proactive approach to handling challenges.
  • Demonstrated proficiency in Microsoft Office with the ability to adapt quickly to new tools or software.
  • Financial services experience is highly preferred.
