Responsibilities
- Facilitate the creation of PowerPoint presentations for department and business unit leaders, ensuring clarity and professionalism.
- Coordinate and prepare agendas for meetings involving U.S. and international teams, promoting effective communication.
- Schedule weekly planning sessions with senior leaders to optimize their calendars for meetings, conferences, and strategic discussions.
- Collaborate with the audiovisual team to guarantee smooth execution of internal and external meetings and events.
- Enhance meeting efficiency by providing logistical support and gathering feedback from participants.
- Compile and distribute various departmental reports, tracking project statuses and key metrics.
- Support onboarding processes for new hires and transfers, including equipment procurement.
- Process expense reports for department leaders, ensuring adherence to company policies.
- Arrange catering and logistical arrangements for meetings and special events, managing vendors as needed.
- Bachelor’s degree complemented by 3-6 years of experience in an executive support or operations role within an investment management environment.
- Proven ability to coordinate complex schedules for multiple senior leaders, juggling conflicting priorities with ease.
- Strong project management and organization skills, capable of managing multiple tasks simultaneously.
- Excellent written and verbal communication skills, with the ability to interact effectively with diverse teams and stakeholders.
- Detail-oriented with strong problem-solving skills and a proactive approach to handling challenges.
- Demonstrated proficiency in Microsoft Office with the ability to adapt quickly to new tools or software.
- Financial services experience is highly preferred.
