Overview:
- We are currently seeking a proactive and detail-oriented individual to join our team as a Risk Coordinator. This position will provide essential support in the Risk Team for insurance policies, contracts, compliance, licensing, and claims efficiently. Responsibilities:
- Insurance Support:
- Assist in the administration of insurance policies, including data entry, document management, and filing.
- Maintain accurate records of insurance policies, premiums, coverage details, and expiration dates.
- Communicate with insurance providers to obtain quotes, policy updates, and other relevant information.
- Support the insurance renewal process by gathering necessary documentation and coordinating with brokers.
- Assist in responding to inquiries from internal staff regarding insurance coverage and procedures.
- Tracking certificates of insurance
- Contract Assistance:
- Provide administrative support for contract preparation, review, and execution.
- Assist in organizing and maintaining a centralized repository of contracts and related documents.
- Support contract approval and filing processes by tracking deadlines and coordinating with relevant parties.
- Assist in drafting correspondence related to contract negotiations, amendments, and terminations.
- Assist in conducting research and gathering information to support contract management activities.
- Claims Processing:
- Assist in processing insurance claims by gathering documentation, completing forms, and submitting claims.
- Maintain organized records of claim documentation, including incident reports, receipts, and correspondence.
- Follow up on pending claims and communicate with insurance providers to track claim status.
- Assist in resolving inquiries and issues related to claims processing from internal stakeholders.
- Support the claims adjustment process by providing administrative assistance as needed.
- Licensing/Compliance
- Provide administrative support for Business Licensing.
- Assist in organizing and maintaining a centralized repository of licenses and related documents.
- Support Risk with filing processes by tracking deadlines and coordinating with relevant parties.
- Assist in completing applications as required for each State, County, and Municipality requirements.
- Assist in conducting research and gathering information to support Risk Management activities.
- Develop and maintain a comprehensive understanding of federal, state, and local regulations governing the construction industry, including but not limited to MBE/DBE/WBE requirements, qualifications and management.
- Design, implement, and manage compliance programs to ensure adherence to regulatory requirements and industry best practice including ESG requirements and communication.
- General Administrative Support:
- Provide general administrative support to Risk Management Team.
- Assist with scheduling meetings, preparing agendas, and taking meeting minutes as required.
- Assist in organizing and maintaining electronic and physical filing systems for documentation.
- Perform data entry, scanning, and photocopying tasks as needed.
- Assist with special projects and other duties as assigned by management.
- Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Previous experience in an administrative support role, preferably in insurance, contract management, or claims processing.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Ability to maintain confidentiality and handle sensitive information with discretion.
