What are the responsibilities and job description for the Administrative Assistant II - CPEP position at The Harris Center for Mental Health and IDD?
The Harris Center for Mental Health and IDD (“The HARRIS CENTER”) is looking for a Administrative Assistant II to join our team. The Administrative Assistant 2 prepares correspondence and reports, takes meeting minutes, and records department time & leave. The position handles routine clerical tasks and general reception duties. Duties may include the following: maintaining records; receiving, preparing, or verifying documents; searching for and compiling information and data; responding to routine requests; and using judgment & initiative to determine necessary response/action in non-routine situations.
Your role in action:
1. Produces and proof correspondence, documents, and other related forms. Maintains files according to organizational/departmental procedures.
2. Receives and screens visitors and telephone calls and either notifies staff members or records and relays messages.
3. Plan, organizes and distributes supplies as needed. Informs administrative assistant at 9401 MCOT office when supplies at Bristow office need to be ordered. This includes nursing supplies & office supplies.
4. Processes incoming/outgoing mail according to organizational/departmental procedures.
5. Resolves customer requests, complaints, and problems or refers them appropriately.
6. Maintains an effective workflow system of assigned area. Resolves administrative issues and flags issues that require immediate management attention.
7. Serves as petty cash custodian.
8. Serves at the back up for the CANS/ANSA data entry when the Business Office Coordinator is out.
9. Creates and maintains the psychiatrists’ schedules on the scheduling spreadsheet.
10. Helps with completing ROI’s and requesting Medical Records for consumers when needed by Medical Director.
11. Maintains professional behavior and provides excellent customer service to both staff and consumers. Demonstrates ethical conduct, professionalism, and confidentiality in all activities. Complies with Agency policy and procedures.
12. Adapts to changing working requirements. Flexible to meet ongoing needs of the Agency.
What qualifications you will need:
Education:
- High School Diploma or general education degree (GED).
Experience:
- 3 years general clerical experience
Required Knowledge, Skills & Abilities:
- Motivated, self- starter with the ability to work within a fast-paced environment.
- Good interpersonal and public relations skills required.
- Solid analytical, creative and problem-solving abilities.
- Able to work well independently
