Executive Personal Assistant (70%) / Executive Assistant (30%) to Chairman & Family

Location: Newport Beach, CA (Must Currently Reside Locally)

When in town will work out of their office in Newport

Compensation: $150,000–$175,000 plus DOE Bonus Full Benefits

Schedule: Hybrid. In-person when the principal is in town, with remote flexibility when traveling.

A highly successful UHNW Chairman and family are seeking an experienced Executive Personal Assistant to serve as a trusted right hand. This is a predominantly personal assistant-focused role with approximately 70% personal support and 30% executive support.

The ideal candidate is polished, discreet, proactive, highly organized, and thrives in a fast-paced environment where priorities shift frequently. We are seeking someone who genuinely enjoys supporting a principal and family, anticipates needs before they arise, and takes pride in providing exceptional service.

This role works closely with the spouse's Executive Assistant, who is based on the East Coast, and requires strong communication, collaboration, and flexibility across multiple time zones. There is a significant emphasis on complex travel coordination, personal logistics, scheduling, lifestyle management, and day-to-day support.

Candidates must be comfortable supporting a principal who travels extensively and operates internationally. Flexibility is essential, including occasional availability outside traditional business hours, responsiveness across PST and EST, and the ability to travel internationally as needed.

A polished, fashion-forward presence and a positive, can-do attitude are highly valued.


Key Responsibilities

• Manage complex domestic and international travel, including flights, hotels, car services, reservations, itineraries, and logistics

• Provide full personal and household support for the Chairman and family

• Coordinate calendars, meetings, appointments, and scheduling across multiple time zones

• Assist with personal errands, medical appointments, insurance reimbursements, and financial transactions

• Coordinate dinners, private events, guest lists, catering, seating arrangements, and accommodations

• Liaise with household staff, vendors, contractors, and service providers across multiple properties

• Oversee household projects, deliveries, maintenance scheduling, and vendor coordination

• Handle restaurant reservations, spa and wellness appointments, and personal scheduling

• Maintain strict confidentiality and exceptional attention to detail

• Assist with technical support and troubleshooting for calls and meetings

• Collaborate closely with executive assistants and household staff to ensure seamless operations

• Additional ad hoc personal and administrative support as needed

Schedule Responsiveness

• Significant after-hours responsiveness expected

• Must be comfortable managing East Coast and international timelines while principals are traveling

• Flexibility and responsiveness are essential outside of normal work hours


Qualifications

• 5 years of experience supporting a high-level executive, founder, or UHNW principal

• Prior experience with personal, family, and estate support strongly preferred

• Highly organized with strong problem-solving skills and sound judgment

• Strong communication and interpersonal skills

• Comfortable working in a fast-paced, ever-changing environment

• Tech-savvy and proficient in Microsoft Office, Zoom, Teams, AI tools, and modern productivity platforms

• Experience coordinating high-end events is a plus

• Polished, discreet, and service-oriented mindset

• Appreciation for luxury lifestyle, fashion and high-touch service environments preferred

• Comfortable around dogs/pets

• Reliable transportation required

• Must be able to pass a background check and have valid US work authorization
