I. Job Overview

Job Description Summary:

The Program Manager, Office of Academic Affairs, is responsible for planning, coordinating, and executing academic and co-curricular programs and events that enhance student learning and engagement. This role oversees operational logistics for student learning experiences (on- and off-campus), non-degree offerings, schoolwide program operations, alumni engagement activities, and major programmatic events. The position requires strong event management, project coordination, and stakeholder communication skills, as well as the ability to work collaboratively across academic and administrative units. This position reports directly to the Director, GWSPH Program Operations.

Student Learning Experiences

  • Manages end-to-end lifecycle of high-impact student immersions and experiences for GWSPH programs, from initial concept through execution.
  • Responsible for high-level operational strategy, including pre-travel site audits, venue and vendor negotiations, and budget management for travel, accommodations, and catering.
  • Directs stakeholder readiness by leading faculty onboarding and streamlining student registration processes.
  • Serves as the primary risk manager and on-site operational lead during domestic and international travel, ensuring strict adherence to safety protocols and seamless program execution.

Non-Degree Course and Program Offerings (e.g., Summer Institute, Executive Education) PROGRAM ADMIN

Support and coordinate non-degree course and program offerings. This may include:

  • Identifying and hiring faculty in coordination with academic leaders
  • Identifying short courses and non-degree program topics
  • Obtaining curricular approvals as appropriate
  • Managing student and non-student enrollment and registration
  • Serving as a liaison with the university’s non-degree office
  • Coordinating with marketing and communications to ensure visibility and website updates
  • Overseeing all administrative and logistical aspects of offerings (including in-person and remote offerings)
  • Coordinate with admissions, records, scheduling, student affairs, and faculty affairs to ensure continuity of student engagement and experience

Social Media & Communications Support

  • Partner with marketing and communications staff to promote academic programs, student immersions, events, and alumni activities.
  • Draft and curate content (e.g., event announcements, highlights, student stories, photos/videos) for institutional social media channels
  • Ensure that messaging related to academic affairs is consistent with the school’s strategic priorities.

Schoolwide Program Operations

  • Provide support for student and honorary organizations
  • Support other schoolwide student programs and experiences as opportunities arise, including coordination with external stakeholders and students/alumni
  • Coordinate with other GWSPH units including the Office of Research Excellence, the Office of Applied Public Health, and Centers and Institutes

Support Alumni Engagement

  • Develop and implement a system to track alumni and alumni engagement
  • Support alumni engagement and communication activities
  • Support the connection of current students with alumni
  • Coordinate with the Dean’s Office, Career Services, and the Office of Applied Public Health to support alumni outreach and engagement
  • Support planning and execution of alumni-related events

Other Engagement And Events

  • Provide administrative and logistical support to the Admissions and Recruitment team as needed to support engagement
  • Coordinate with the marketing and communications team to develop and sustain communications channels with prospective and current students
  • Support the planning and execution of school events, including student orientation, graduation, and graduation-related events, alumni and family weekend, admitted students’ day, and other student and alumni fairs and conferences
  • Support the Student Affairs team, including administrative, planning, logistical, and outreach support for new and returning students

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:

Preferred Qualifications:

  • Demonstrated experience in event coordination/management, program operations, or academic administration is preferred.
  • Familiarity with social media platforms and basic content development for institutional or professional purposes is a plus.
  • Strong organizational, project management, and problem-solving skills with the ability to manage multiple concurrent events and initiatives.
  • Excellent written and verbal communication skills; ability to work collaboratively with faculty, staff, students, alumni, and external partners.
  • Experience with vendor management and logistical planning for events and programs is desired.
  • Familiarity with higher education, public health, or related fields preferred.
  • Proficiency with office productivity tools and event management or registration platforms is a plus.

Hiring Range $58,992.50 - $81,144.77
