Intake and Scheduling Coordinator – The Gates of Beautiful
The Intake and Scheduling Coordinator is responsible for overseeing the intake process, client registration, and scheduling of new admissions into the Partial Hospitalization Program (PHP). This role serves as the primary point of contact for prospective clients and referral sources, ensuring a seamless, timely, and compliant onboarding experience. The ideal candidate is highly organized, detail-oriented, and capable of working independently while maintaining excellent communication.
Key Responsibilities:
- Review incoming referrals to assess appropriateness for PHP level of care
- Coordinate scheduling, rescheduling, appointment confirmations, and waitlists
- Assist clients in completing intake and onboarding documentation
- Respond promptly and professionally to inquiries from clients, families, referral sources, and external stakeholders
- Accurately enter and maintain client information in the Electronic Health Record (EHR) system, ensuring compliance with all privacy regulations
- Prepare, organize, and maintain client records and documentation
- Schedule clinical assessments within 24–48 hours of receipt of completed intake documentation
- Collaborate with clinicians, case managers, and administrative staff to resolve documentation gaps and ensure continuity of care
- Perform additional intake and scheduling duties as assigned
Qualifications:
- Associate or bachelor’s degree in healthcare administration, Social Work, Psychology, or a related field preferred
- Minimum of 1–3 years of experience in healthcare intake, scheduling, or administrative support, preferably in a behavioral health or PHP setting
- Experience working with Electronic Health Record (EHR) systems required
- Strong organizational skills with high attention to detail
- Excellent verbal and written communication skills
- Ability to manage multiple tasks in a fast-paced environment
- Knowledge of HIPAA and confidentiality standards preferred
Schedule and Work Location:
- Full-time position
- Monday through Friday
- 8-hour shifts
- In-person (Manassas, VA)
Pay: $22.00 - $27.00 per hour
