Overview
We are seeking a dynamic and organized Office Assistant to join our team and help ensure the smooth operation of our office environment. This role is vital in providing exceptional administrative support, managing front desk responsibilities, and maintaining efficient office workflows.
Responsibilities
- Greet visitors and clients professionally at the front desk, ensuring a positive first impression.
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette.
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software.
- Maintain organized filing systems, both physical and digital, to ensure quick retrieval of documents.
- Assist with calendar management and scheduling appointments for staff members or departments.
- Support bookkeeping activities such as invoicing, expense tracking, and basic QuickBooks entries.
- Provide general administrative support including proofreading documents, managing correspondence, and supporting customer service efforts.
Qualifications
- Proven office experience with strong clerical skills and familiarity with office management procedures.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Strong communication skills with a professional phone manner; bilingual abilities are a plus.
- Experience with multi-line phone systems, filing systems, and customer support is highly desirable.
- Knowledge of bookkeeping software such as QuickBooks or similar platforms is preferred.
