Receptionist (Entry-Level)
Location: Summers Ridge
Starting contract length: 1 year (Available for extensions/conversion based on performance and budget)
Overview
We are seeking a professional and welcoming Receptionist to serve as the first point of contact at our Summers Ridge location. This entry-level role is ideal for someone who enjoys customer interaction, staying organized, and supporting multiple teams in a fast-paced office environment.
You will play a key role in maintaining a safe, organized, and hospitable workplace while providing front-desk, administrative, and clerical support across departments including Human Resources, Accounting, Safety, and Facilities.
Key Responsibilities
Front Desk & Visitor Services
- Greet and direct visitors, applicants, vendors, and employees
- Answer and route calls on the main switchboard
- Maintain a professional front-desk presence and support facility security
Mail, Shipping & Distribution
- Process incoming/outgoing mail and coordinate daily delivery
- Prepare shipping labels and FedEx packages
- Scan and distribute important employment-related mail
Administrative & HR Support
- Provide general administrative support to HR and other departments
- Assist with onboarding, recruiting activities, and meetings/events
- Coordinate and distribute internal communications and flyers
Accounts Receivable (AR) Support
- Receive, log, and scan checks
- Prepare deposits and send documentation to accounting teams
- Route benefit-related checks to appropriate teams
Accounts Payable (AP) Support
- Receive, scan, and distribute AP checks
- File invoices and manage incoming statements
- Coordinate utility communications and outgoing AP mail
Safety, Events & Catering
- Assist with safety documentation (e.g., evacuation rosters)
- Support internal meetings, events, and catering coordination
Badge & Security Support
- Issue and track temporary and contractor badges
- Verify employee status and maintain badge logs
- Assist with badge creation when needed
Communications
- Create and distribute weekly facility and café announcements
- Coordinate urgent communications with appropriate contacts
Conference Room & Guest Support
- Help guests navigate the facility
- Provide support during meetings and presentations
Qualifications
Required
- High school diploma or equivalent
- Strong communication and organizational skills
- Basic proficiency in Microsoft Office (Outlook, Excel, Word)
- Ability to multitask and handle confidential information
- Professional, customer-focused demeanor
Preferred
- Previous receptionist, administrative, or customer service experience
- Strong attention to detail and reliability
- Team-oriented mindset with adaptability
Work Environment
- Office setting with extended periods of sitting and computer work
- Frequent interaction with employees, visitors, and vendors
- Regular phone and front-desk responsibilities
