ADMINISTRATIVE ASSOCIATE JOB DESCRIPTION
THE FOUNDATION FOR GEAUGA PARKS
The part-time (15 hours week) Administrative Associate works in collaboration with the Executive Director and provides administrative support for the organization's day-to-day operations. This includes, but is not limited to: Database management, donor relations, gift processing, office and correspondence management, public relations, event planning support, and social media. Particular emphasis is placed on a candidate with strength in being detail- oriented, exemplary in both verbal and written communication, and administrative support.
The position reports to the Executive Director and collaborates closely with the Director of Marketing and Communications, Bookkeeper, the Foundation’s Executive Committee, Board of Trustees (“the Board”), and other committees as needed.
Responsibilities and Duties
- Supports day-to-day office functions, working collaboratively with Executive Director, the
Director of Marketing and Communications, and the Board
- Maintains and updates fundraising and donor data using the CRM management tool, Bloomerang; accuracy is critical
- Manages the Foundation’s calendar and collaborates with the Executive Director to organize their calendar, including all meetings, events, and outreach efforts
- Works with Executive Director and Board to ensure the Foundation is operating legally, ethically and efficiently
- Works collaboratively to support Foundation initiatives
- Tracks progress of proposals, requests for proposals, grants, and fundraising
- Answers phone calls, emails, and other correspondence; might organize the Executive Director’s correspondence as well
- Processes (e)mail and donations, including those made by credit card
- Assists with communications, marketing, email communications, event planning, and social media management.
- Takes initiative and performs support tasks that enable the Board’s and Executive Director’s community outreach efforts and documents the progress of these efforts
- Coordinates board meeting catering, facilities and document procurement
- Establishes professional and warm relationships with stakeholders
- Other duties assigned by the Executive Director, as needed
Requirements and Qualifications
- High school diploma
- Possesses a professional presence, adapting effectively to one’s audience
- Proven effective communication (verbal and written) skills, including good grammar
- Proficient in use of MS Office and recordkeeping
- Previous experience in a similar role
- Experience in meeting scheduling and planning
- Able to work some evenings and weekends
- Demonstrates highly ethical standards, proven integrity
- Motivated and able to collaborate and work with other groups and organizations that either share or overlap with the mission of the Foundation to gain support for our work
- Works independently while demonstrating the ability to work effectively as part of a team
- Experience working for or with nonprofits a plus
Compensation
Hourly wage commensurate with experience
Paid time-off
Flexible work hours depending on the Foundation event calendar
