What are the responsibilities and job description for the Practice Coordinator position at The Fizio Fix?
Fizio Fix is a boutique, concierge physical therapy practice in Lincoln Park focused on finding the root cause of pain, not just managing symptoms, through full-hour, one-on-one PT, pelvic floor therapy, Pilates, and personal training sessions.
The Practice Coordinator is our first point of contact, owning scheduling, client communication, billing support, and daily operations with the same polish clients expect from their sessions. It starts part-time, with a clear path to full-time Practice Manager as the practice grows.
Practice Coordinator Responsibilities
- Client experience: manage onsite clinician and patient experience, manage scheduling and rebooking across all practitioners, handle cancellations and questions with discretion.
- Billing & insurance: verify benefits (BCBS PPO, Medicare), explain self-pay/package/superbill options, and process payments accurately.
- Clinic operations: manage inventory and reorders, keep Prompt/EMR records current, maintain the front-of-house space, and support light marketing (social, reviews).
Growing Into Practice Manager
- Staffing & leadership:, onboard, and schedule staff and clients
- Financials: own billing/claims and AR, support budgeting and payroll, and report key metrics to ownership
- Compliance & risk: ensure HIPAA compliance, documentation standards, and health/safety practices
- Vendors, facilities & inventory: manage vendor contracts, equipment upkeep and optimization and inventory budgeting
- Growth & marketing: build referral partnerships and support marketing and new-service launches.
Required Skills & Qualifications
- Prestige/concierge client experience: proven ability to manage a high-touch, white-glove client experience in a premium setting (healthcare, hospitality, or boutique fitness).
- Communication at every level: confident, polished communication with clients, practitioners, and ownership alike.
- Strong organizational skills; comfortable juggling schedules, priorities, and systems.
- Reliable, self-directed, and available across some combination of Mon–Sat, 6am–6pm clinic hours.
Nice to Have
- Prompt EMR experience: or a comparable PT practice-management platform.
- Insurance billing experience: verification, claims, or medical billing in an outpatient setting.
- Prior experience in a PT, chiropractic, Pilates, or boutique fitness/wellness setting.
Qualifications for Growth into Practice Manager
- Track record of increasing ownership and reliability in the Coordinator role.
- Financial acumen (or eagerness to build it) — budgets, billing metrics, basic P&L.
- Leadership instincts, and a degree in business/healthcare admin is a plus but not required.
