JOB SUMMARY:
The Operations Coordinator provides administrative support, project coordination as well as reporting and tracking operational procedures and outcomes to ensure adherence to the internal and external compliance requirements. Duties also include processing student transactions and third-party payment reconciliation.
ESSENTIAL FUNCTIONS:
- Provides administrative and project coordination support as needed.
- Maintains facility related records and follow up.
- Enters all education materials procurement in Oracle.
- Coordinates and tracks follow up from the Evening Operations Reports.
- Ensures adherence to the school’s Master Calendar to meet regulatory requirements.
- Reviews, distributes and creates follow-up cadences as it relates to operational reports and surveys.
- Acts as the liaison for new employee on-boarding activities.
- Actively participate in one-on-one meetings with the School Director to analyze and evaluate project statuses and improve school processes.
- Coordinates and creates meeting materials assigned by the School Director.
- Coordinates school community engagement activities.
- Participates in all individual career development sessions as required by Apex and Fedcap.
- Supports school audits as needed.
- Act as the liaison for recruitment efforts with the Fedcap Talent Acquisition team as well as for Fedcap HR and Benefits.
- Maintains and updates all employee files.
- Maintains time off calendars and reconciliation systems.
- Maintains and tracks employee evaluation to ensure timely reviews.
- Create and refresh job postings on recruitment platforms such as ZipRecruiter and Indeed.
- Processes students’ transactions and ensures timely and accurate data in the school’s SIS. This includes using UNISA’s reports to reconcile records.
- Reconciles Petty Cash.
- Processes agency billing.
- Coordinates OSHA sign up.
- Supports marketing efforts as it relates to project management and asset acquisition.
- Contribute to organization success by accepting new assignments, helping team members, learning new skills, and striving to improve team results.
- Functions as an ambassador and liaison for Apex Technical School.

High School Diploma or equivalent

Occasional travel to APEX Satellite Location and/or potential sites for expansion.
Job Experience
Minimum of 3 years in a technical school, preferably licensed by NYS Education Department and nationally accredited.
