Full-Time Law Office Administrator / Receptionist / Bookkeeper

Fealy Law Firm, P.C. is seeking a dependable, organized, and professional Law Office Administrator / Receptionist / Bookkeeper to become a key member of our busy Houston law office.
This is a front-office and administrative position with bookkeeping responsibilities. The right person will be comfortable managing a busy reception area, communicating professionally with clients, keeping attorneys' schedules organized, and handling day-to-day QuickBooks bookkeeping.
Primary ResponsibilitiesReception & Client Service
- Answer and route incoming telephone calls professionally and promptly
- Greet clients and visitors and manage the front office
- Schedule consultations, appointments, Zoom meetings, and client conferences
- Maintain attorney calendars and assist with scheduling deadlines and meetings
- Take accurate messages and ensure appropriate follow-up
- Communicate with clients regarding appointments, documents, payments, and routine case-related matters
- Help maintain a professional, organized, and welcoming client experience
Office Administration
- Assist with the day-to-day administration of a busy law office
- Coordinate calendars, appointments, mail, deliveries, scanning, and document organization
- Assist attorneys and paralegals with administrative needs
- Maintain office supplies and coordinate with vendors
- Help ensure that administrative tasks and client requests do not fall through the cracks
- Assist with billing and collection follow-up
- Maintain organized electronic and physical records
Bookkeeping / QuickBooks
- Maintain accurate bookkeeping records in QuickBooks
- Perform bank and credit-card reconciliations
- Handle accounts payable and accounts receivable
- Assist with client billing, payment posting, and collections
- Maintain vendor and expense records
- Assist with payroll and routine financial reporting
- Work with the firm's accountant/CPA as necessary
- Experience with law-firm accounting and IOLTA/trust accounting is strongly preferred
Qualifications
Required:
- Prior QuickBooks experience
- Strong receptionist, administrative, or office-management skills
- Excellent telephone and client-service skills
- Strong organizational and scheduling abilities
- Comfortable working in a busy, deadline-driven professional office
- Strong attention to detail
- Ability to prioritize multiple responsibilities without losing track of follow-up items
- Professional demeanor and dependable attendance
- Comfortable with computers, email, calendars, Microsoft Office, scanning, and electronic document management
Preferred:
- Prior law-office experience
- Law-firm bookkeeping experience
- IOLTA/trust-accounting experience
- Experience with Clio or another legal practice-management system
- Experience coordinating attorney calendars and client appointments
- Spanish speaking is preferred, but not required
Who We Are Looking For
We are looking for someone who enjoys being at the center of a busy law office. This person will often be the first voice a client hears and the first person a client sees when visiting our office.
The ideal candidate is friendly and professional with clients, highly organized, comfortable handling a busy telephone and appointment schedule, and capable of maintaining accurate QuickBooks records.
This is not a position for someone who wants to perform bookkeeping exclusively. Reception, client communication, scheduling, office administration, and bookkeeping are all important parts of the position.
