Position Overview
The Development & Events Coordinator is a vital member of the Advancement team, providing comprehensive logistical and administrative support for events, donor engagement, and day-to-day operations. This position supports all members of the four-person Development Team in planning, coordinating, and following up on events and fundraising initiatives.
The ideal candidate is a people-centered professional who combines strong interpersonal skills with exceptional attention to detail. They are highly organized, collaborative, and take pride in coordinating the many moving parts that make events successful—from alumnae gatherings and parent programs to the annual Spring Her Forward gala. This is a full-time, year-round, permanent, in-person position.
Key Responsibilities
Support the Development Team with scheduling donor meetings, preparing materials, and maintaining accurate records in the database (Raiser’s Edge NXT experience a plus).
Track and organize event budgets, invoices, and expense reports.
Provide administrative and logistical support for all advancement and community events, including donor receptions, parent programs, alumnae gatherings, and fundraising events.
Coordinate event details such as invitations, RSVPs, signage, catering, setup, and on-site support.
Serve as a point of contact for vendors, guests, and volunteers as needed.
Assist with event post-event follow-up.
Manage event calendars, supply inventory, and department logistics.
Support communication efforts by coordinating email lists, proofreading materials, and compiling event summaries or reports.
Partner with volunteers and the Ellis Parents Association to support community programs.
Greet guests and serve as a welcoming representative of the Advancement Office at events.
Coordinate the collection of Class Notes for the annual magazine with the Assistant Director of Alumnae Relations.
Assist with alumnae communications and social media in collaboration with the Assistant Director of Alumnae Relations.
Other duties necessary to fulfill the objectives of the Advancement Office.
Qualifications
Bachelor’s degree or equivalent experience preferred.
1–3 years of experience in administrative support, event coordination, or nonprofit development.
Excellent organizational, multitasking, and time-management skills.
Strong interpersonal and written communication skills.
Proficiency with Google Workspace; experience with donor databases a plus.
High level of discretion, professionalism, and attention to detail.
Ability to work occasional evenings and weekends for school events.
