Job Overview:
We are seeking a highly organized and detail-oriented Executive Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our team. This role requires proficiency in various tasks, strong communication skills, and the ability to manage multiple priorities effectively.
Key Responsibilities:
- Manage appointments for all team members and create clarity and efficiency across the team.
- Help streamline systems and workflows
- Compile all database efforts into one and streamline.
- Coordinate team activities and events, ensuring all logistics are handled efficiently and communicated properly.
- Utilize Google Calendar for scheduling meetings, appointments, and reminders.
- Prepare documents using DotLoop for electronic signatures and approvals.
- Maintain organized digital and physical filing systems.
- Demonstrate computer literacy by utilizing various software applications for daily tasks.
- Assist with listing preparations and buyer support as well as lead analysis for the team.
- Work directly with team Rainmaker and must be team oriented and also comfortable working independently.
- Support business growth initiatives and special projects
Requirements
- Previous experience as an Executive Assistant, Administrative Assistant, or Real Estate Assistant preferred.
- Knowledge of real estate transactions and terminology is a plus
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Familiarity with phone systems and office equipment.
- Tech-savvy (CRM systems, Google Workspace, MLS platforms, social media tools)
- Ability to work independently as well as part of a team in a fast-paced environment.
- Strong attention to detail and problem-solving abilities and heavily task oriented.
- A proactive approach to identifying needs and implementing solutions.
- Ability to handle confidential information with discretion
Position can be fully remote or in office (Cambridge MA)
Compensation
$20-25/hour 25-40 hours weekly depending on availability
Salary : $20 - $25
