ABOUT THE ROLE

This is not a standard administrative position. You will work directly alongside Benjamin Drake, the firm's founder. Your primary focus will be keeping his world organized so he can focus on leading and growing the practice.


Our firm is in a deliberate growth phase and actively transitioning to tech-enabled operations. Ben moves quickly and thrives in a high-touch, relationship-driven environment.


We need someone who can seamlessly manage his fast-paced, face-to-face world while anchoring the work to modern, efficient software systems behind the scenes. You will anticipate his needs based on patterns you learn, not just instructions you are given.


You will track what is in motion across the firm before anyone has to ask. If you are always two steps ahead, take absolute ownership, and love using technology to make your work more efficient, this role was built for you.


YOU ARE PERFECT FOR THIS ROLE IF...

  • You have 5 years of experience supporting a founder, CEO, or C-suite executive directly.
  • You are a natural self-starter. You observe, learn, and act without waiting to be reminded.
  • You take ownership. When something is on your list, it gets done, and you update the person who assigned it unprompted.
  • You are highly tech-savvy. You learn new software independently and naturally look for ways to streamline and digitize workflows.
  • You communicate directly and are warm and personable. Clients, colleagues, and vendors feel welcomed by you.
  • You understand discretion. You protect your principal's schedule and information gracefully but firmly.
  • You are calm under pressure. Fast-moving environments don't rattle you; they energize you.

RESPONSIBILITIES

I. Executive Support and Logistics

  • Own Ben's calendar completely, schedule meetings, and ensure no conflicts.
  • Coordinate all weekly 1:1s, manage daily appointments, and handle personal scheduling.
  • Handle all travel logistics end-to-end, including flights, hotels, and detailed itineraries.
  • Help plan and execute firm events, team activities, and external events.


II. Operations and Delegation Tracking

  • Build and maintain a centralized task tracker for all delegated items and always know the status of open items.
  • Follow up proactively with team members so Ben never has to chase an update.
  • Provide Ben with regular, in-person status updates on open projects.
  • Monitor the Distribution Team's progress on trust accounting milestones and flag potential delays.
  • Serve as the communication bridge between Ben, the CFO, and the accounting team to triage requests.


III. Systems, Documentation, and Real Estate

  • Document Ben's preferences and workflows, and maintain organized, current SharePoint folders.
  • Track all of your own open work in the firm's project management system.
  • Identify and digitize your own manual workflows and write standard operating procedures (SOPs) for them.
  • Coordinate with property management companies, vendors, and tenants for Ben's real estate portfolio.
  • Assume additional tasks and ad hoc projects as assigned to support the founder and the firm.
