JOB TITLE: Coordinator, Tri-County In-School Program 

DEPARTMENT: Studio Programs 

REPORTS TO: Director, Studio Programs 

CLASSIFICATION: Temporary, Full-Time, Non-Exempt 

REMOTE WORK ELIGIBILITY: Project Based 

 

 

GENERAL SUMMARY 

Under the guidance of the Director, Studio Programs, the Coordinator – Tri-County In-School Program is responsible for preparing program materials and kits, scheduling and coordinating school visits. This position coordinates offsite programs year-round, during the academic day and/or after school for multiple school groups per day, and other duties as assigned. 

 

ESSENTIAL FUNCTIONS 

  • Coordinate incoming communications regarding in-school programs, scheduling, and training via telephone, email, and in-person. Triages needs and responds when within scope and refers to other staff when necessary.   
  • Coordinate and schedule classroom art experiences with internal staff and external partners. 
  • Communicate with school-based staff and Facilitators to initiate the scheduling of in-school learning experiences.  
  • Schedule internal meetings with all stakeholders to support resource content development, including graphic design, marketing and communication, and evaluation. 
  • Maintain documentation of programs. 
  • Maintain digital organization of program protocols, processes, curricula, project plans, and multi-media documentation.  
  • Prepare materials for classes and help maintain studio space, supplies and equipment. 
  • Advise the Director of Studio Programs on program refinement, coordination, methods, scheduling, special considerations, and related logistics. 
  • Apply DIA values to interactions to support a culture of belonging among internal and external stakeholders. 
  • Perform other duties as assigned.  

 

QUALIFICATIONS 

 

EDUCATION AND EXPERIENCE  

High school diploma, GED, or equivalent required. Bachelor's degree in art history, education, or related field preferred. Three (3) years of administrative experience required. Two (2) years of experience scheduling educational programs preferred. Additional years of experience may be substituted for degree requirement.

  • Demonstrated organizational skills to plan, manage, prioritize, and complete multiple on-going projects to meet deadlines and goals.  
  • Ability to provide information, ideas, and instructions clearly, effectively, and professionally through talking or writing.  
  • Must have demonstrated active listening and communication skills and an ability to communicate clearly and professionally. 
  • Ability to identify challenges and opportunities, engage others in their resolution, and recommend appropriate course of action. 
  • Demonstrated ability to work with attention to detail and produce accurate results.  
  • Demonstrated flexibility and adaptability to changes in priorities based on operational need. 
  • Must have solid office administration skills, including ability to maintain files and keep items in a logical and organized manner and operate most office equipment. 
  • Ability to work occasional weekend and evening hours for special events. 
  • Must be proficient in the latest version of Office 365.  
  • Must have proficiency in the use of remote work technology such as scheduling with, connecting to, and using digital collaboration platforms such as Microsoft Teams. 
  • Must be able to establish and maintain professional, productive, and courteous interactions that promote positive teamwork. This encompasses going beyond giving and receiving instructions and includes but is not limited to (a) performing work activities requiring interacting or speaking with others; and (b) responding appropriately to constructive feedback or suggestions for improvement from a supervisor.
