Position Overview:
The Executive Assistant to the City Manager provides high-level administrative, organizational, and operational support to the City Manager while also assisting the Mayor, City Council, and City Management Team. This role is critical in ensuring efficient operations, effective communication, and coordination across departments. The Executive Assistant serves as a liaison between leadership, staff, and the public, maintaining professionalism, discretion, and confidentiality at all times.
Key Responsibilities:
· Manage calendars, appointments, and scheduling for the City Manager
· Coordinate and prepare materials for meetings, reports, and presentations
· Handle correspondence, emails, and phone communications on behalf of the City Manager
· Maintain confidential records and sensitive information
· Arrange travel and logistics when necessary
· Provide administrative support to the Mayor and City Council members
· Coordinate council meetings, work sessions, and public hearings
· Assist the City Clerk with preparing meeting packets, minutes, and official records
· Oversee daily office operations and administrative systems
· Maintain office supplies, equipment, and vendor relationships
· Develop and improve administrative processes and workflows
· Support interdepartmental coordination and communication
· Assist department heads with scheduling, coordination, and documentation
· Support special projects and initiatives led by the City Manager
· Track deadlines, deliverables, and project timelines
· Help facilitate strategic planning efforts
· Assist with public information requests and community engagement efforts
· Maintain professionalism when interacting with the public
· Assist with document retention and records management policies
· Support transparency and compliance with Georgia municipal requirements
· Assist with budget tracking, purchasing, and invoice processing
· Coordinate contracts, agreements, and procurement documentation
· Support grant documentation and reporting where applicable
· Other duties as assigned
Qualifications:
· 2–5 years of executive administrative experience
· Strong organizational, multitasking, and time management skills
· Excellent written and verbal communication abilities
· High level of discretion and confidentiality
· Proficiency in Microsoft Office and standard office software
Physical Demands:
Physical: Primary functions require sufficient physical ability and mobility to work in an office setting and operate office equipment. Continuous sitting and upward and downward flexion of neck; fine finger dexterity; light to moderate finger pressure to manipulate keyboard, equipment controls, and office equipment; pinch grasp to manipulate writing utensils. Frequent side-to-side turning of neck, walking, standing, bending, stooping, pushing/pulling, and twisting at waist; moderate wrist torque to twist equipment knobs and dials; lifting objects weighing up to 20 lbs. from below waist to above shoulders and transporting distances up to 50 yards. Occasional squatting, kneeling, and reaching above and at shoulder height; moderate grasping to manipulate reference books and manuals; lifting objects weighing 20-35 lbs. from below waist to above shoulders and transporting distances up to 50 feet.
Pay: Up to $65,000.00 per year
