Role Description
This is a on-site role for a Legal Administrative Assistant located in Arcadia, CA. The Legal Administrative Assistant will be responsible for managing legal documents, supporting attorneys with administrative tasks, preparing and organizing legal paperwork, scheduling meetings, and maintaining communication with clients. The role also involves maintaining an organized office environment and providing general administrative support to the team. Qualifications
- Proficiency in Legal Document Preparation and a foundational understanding of legal processes;
- Strong Administrative Assistance and Organization Skills to manage multiple tasks efficiently;
- Excellent Communication skills for client interaction and team collaboration;
- Attention to detail and the ability to work accurately under deadlines;
- Prior experience in a legal or administrative role is a plus;
- Proficiency with office software such as Microsoft Office and legal research tools.
Job Duties
- Answer and direct phone calls in a professional manner;
- Client Intake;
- Greet clients and visitors and manage reception duties;
- Handle client intake and maintain accurate records;
- Open, close, and maintain physical and electronic client files;
- Scan, copy, file, and organize documents;
- Process incoming and outgoing mail, deliveries, and correspondence;
- Maintain attorney and firm calendars;
- Calendaring deadlines, scheduling appointments, and coordinating meetings;
- Track deadlines and follow up on time-sensitive matters;
- Contacting courts, vendors, and other third parties;
- Assisting with billing, processing invoices, and payments;
- Order office supplies and coordinate with vendors;
- Support attorneys and staff with day-to-day operational needs; and
- Ensure office systems, files, and workflows remain organized and efficient.

Preferred Qualifications
- Prior experience in real estate and/or prior experience in a law firm or legal environment;
- Proficiency with standard office software Microsoft (Word, Excel) and legal management systems;
- 75 WPM; and
- Must possess a valid driver’s license, current vehicle registration, and have access to a reliable, working vehicle.
Compensation and Benefits
- Hourly pay is dependent on experience ($22-26/hour).
- Benefits available upon completion of the initial probationary period.
