Part-Time Bookkeeper (Nonprofit Law Firm)

Location: Hilo, Hawaiʻi
Position: Part-Time
Schedule: Flexible (approximately 15–20 hours per week)

Pay: Starting at $23.00/hour - Depending on Experience

About Us

We are a nonprofit law firm dedicated to advocating for children and families on Hawaiʻi Island. We are seeking a detail-oriented, organized, and reliable Part-Time Bookkeeper to manage the firm's day-to-day accounting functions and support our financial operations.

Position Summary

The Bookkeeper is responsible for maintaining accurate financial records using QuickBooks Online and supporting the firm's accounts payable, accounts receivable, payroll, and general bookkeeping functions. This position works closely with the Executive Director and Accountant to ensure financial accuracy, timely processing of transactions, and compliance with organizational policies.

Essential Responsibilities

Accounts Payable

  • Enter vendor invoices and expenses into QuickBooks Online, ensuring accurate coding by vendor, account, class, and description.
  • Prepare check runs for Executive Director approval.
  • Print approved checks for signature.
  • Mail signed checks to vendors and maintain organized vendor files.
  • Review outstanding payables monthly to verify accuracy and resolve outdated balances.

Cash Disbursements

  • Maintain records of all electronic payments (e.g., utilities, insurance, Amazon purchases, etc.).
  • Record electronic payments in QuickBooks with appropriate account coding and descriptions.

Cash Receipts

  • Process incoming checks by making copies, applying restrictive endorsements, and recording deposits.
  • Enter receipts into QuickBooks using the appropriate payer, account, class, and description.
  • If a payment is for an invoice recorded in Accounts Receivable, apply the payment through Accounts Receivable rather than recording it as a bank deposit.

Accounts Receivable

  • Prepare and process grant and contract invoices in a timely manner.
  • Submit invoices to the Executive Director for review prior to distribution.
  • Prepare invoices for judicial appointment clients in accordance with court procedures.
  • Record payments and reconcile discrepancies between invoices and payments.
  • Review outstanding invoices monthly and send payment reminders for invoices that are more than 30 days past due.
  • Forward delinquent accounts to the Executive Director for discussion and determination of appropriate follow-up.

Payroll

  • Enter payroll information into the Gusto payroll system, including employee hours, salaries, leave, holidays, reimbursements, and other payroll adjustments.
  • Record payroll transactions, taxes, and processing fees from Gusto reports into QuickBooks.
  • Maintain accurate employee payroll records, tax withholdings, and payroll deductions.

Qualifications

  • Experience with bookkeeping or accounting required.
  • Proficiency with QuickBooks Online required.
  • Experience with Gusto Payroll preferred.
  • Strong attention to detail and excellent organizational skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Proficiency with Microsoft Office and Microsoft Teams.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Excellent communication and problem-solving skills.
  • Experience working in a legal and/or nonprofit environment is a plus.
