Job Overview:
We are seeking a detail-oriented and organized individual to join our team as a Scheduler in our Paris, TX clinic. As a Scheduler, you will play a crucial role in coordinating and managing appointments for our clinic. Your ability to effectively communicate with patients and healthcare professionals will contribute to the smooth operation of our clinic.
Essential Job Responsibilities:
- Schedules appointments for patients by phone when they call in or from the provider’s recall report. This includes hospital follow-up appointments.
- Ensures patient demographics and insurance information are both up to date; request any missing information.
- Uses EHR scheduling system to match provider availability with the patient’s preferences in terms of desired date and time, but within the timeframe of the patient’s required recall.
- Maintains accurate and complete EHR scheduling records for analyzing patient and staffing patterns.
- Ensures all updates (e.g., cancellations or reschedules) are added daily into the EHR scheduling system.
- Communicates as needed with providers and other staff about any patient concerns/issues related to scheduling. Consults with Clinic Manager about any system problems.
- Uses customer service skills to communicate with patients in a calm and professional manner.
- Performs all other duties as assigned by Clinic Manager.
Performance Requirements:
- Adhere to company policies and procedures.
- Ability to acquire the skills/functions required to perform the job within an acceptable manner of time (90 days).
- Ability to maintain master appointment schedule and reports via EHR scheduling system.
- Ability to establish and maintain professional working relationships with physicians, advanced practitioners, patients, employees and outside medical facilities and physician practices.
- Ability to stay organized, work under pressure, establish priorities and multi-task.
- Ability to evaluate and solve problems.
- Ability to competently operate standard office equipment.
- Professional written and verbal communication skills required.
- Knowledge of computer systems, programs and applications including medical software and electronic medical records.
- Knowledge of medical terminology.
- Knowledge of government regulations and legal requirements related to healthcare (HIPAA/OSHA).
Educational Requirements: High School or GED diploma.
Work Experience: Two years of experience in a medical office or clinic setting preferred.
Equipment Operated: Standard office equipment including computers, telephones, fax machines, copiers and printers.
Work Environment: Combination of office, exam and other clinical settings. Frequent exposure to communicable diseases, biohazards, toxic substances, medicinal preparations and other conditions that are common to a clinic setting. Position is in a well-lit office environment. Requires working under stressful conditions and occasional irregular work hours. Employee is expected to clock in and out each day. A standard work day is 7:30am to 5:00pm (Mon-Thu) and 8:00am to 12:00pm on Friday. Exceptions may apply.
Mental/Physical Requirements: Work may include sitting for long periods, stooping, bending and stretching. Occasionally, one may lift and carry items weighing over 50 pounds. Frequent stress due to the level of responsibilities. Requires corrected vision and hearing to normal range. Manual/finger dexterity and hand-eye coordination required.
