Job Summary: The Admission Coordinator Assistant provides vital administrative and clerical support to the Admission Coordinator, ensuring a smooth and welcoming admission process for prospective residents. This full-time role serves as a compassionate first point of contact.
Key Responsibilities:
- Manage inquiries from prospective residents/families (phone, email, in-person).
- Conduct facility tours, highlighting features and benefits.
- Prepare and organize admission packets.
- Collect and verify resident data, insurance, and medical documentation.
- Maintain accurate, confidential admission records (physical/electronic) compliant with regulations.
- Schedule admission appointments, tours, and meetings.
- Communicate effectively and compassionately with residents, families, and team.
- Provide general administrative support (filing, data entry, correspondence).
- Coordinate new resident arrivals for a seamless transition.
- Collaborate with other departments to ensure coordinated care.
- Perform other duties as assigned to support the admissions team.
Qualifications:
- High School Diploma or equivalent required; Associate's Degree preferred.
- 1-2 years administrative support experience, preferably in healthcare, senior living, or customer service.
- Exceptional interpersonal and communication skills; friendly and compassionate demeanor.
- Strong organizational skills and attention to detail; ability to multitask.
- Proficiency in Microsoft Office Suite; comfortable learning new software.
- Ability to maintain confidentiality.
- Proactive, positive attitude, teamwork, and commitment to resident satisfaction.
- Knowledge of medical terminology/healthcare admissions a plus.
