Editorial Assistant
Location: On-site – Ft. Belvoir, Virginia
Position Type: Full-Time
The C3 Group is seeking a highly organized and detail-oriented Editorial Assistant to provide editorial and administrative support for a quartely academic journal published in support of a Department of War client.
This position requires the ability to manage multiple tasks under tight publication deadlines while maintaining exceptional attention to detail. The ideal candidate is a strong communicator, proactive self-starter, and capable of working independently in a fast-paced, deadline-driven environment.
Key Responsibilities
Editorial & Publication Support
· Receive and process new article submissions in coordination with the Managing Editor.
· Ensure submissions comply with contributor guidelines and include all required files.
· Track articles throughout the editorial lifecycle, maintaining adherence to production deadlines.
· Coordinate edits among multiple editors and consolidate revisions.
· Prepare finalized articles for handoff to graphic design for layout, printing, and distribution.
· Review print and digital layouts against original manuscripts to ensure accuracy and prevent introduction of errors.
· Proofread materials for grammar, punctuation, spelling, clarity, and compliance with established style guidelines.
Administrative & Communication Support
· Coordinate a double-blind peer review process for empirical research article submissions.
· Maintain and update author databases and electronic filing systems.
· Establish, organize, and archive publication files using approved database management systems.
· Maintain author and stakeholder mailing lists and ensure contact information remains current.
· Transcribe interview recordings in preparation for editing and publication.
· Provide weekly status reports to the Managing Editor on article progress.
· Prepare and coordinate mass mailings and assist with distribution of the publication.
· Coordinate professionally with senior Department of War personnel, faculty, academic partners, and industry representatives.
· Pick up and/or deliver print publications as required.
· Maintain professional, diplomatic communication with all stakeholders and clients.
Required Qualifications
· Exceptional written and verbal communication skills.
· Strong proofreading and editing abilities.
· Excellent organizational and time-management skills.
· Ability to manage multiple deadlines simultaneously.
· Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
· Experience working in a structured editorial or publishing environment preferred.
· Ability to work on-site at Ft. Belvoir, VA.
Preferred Qualifications
· Familiarity with DoD or federal environments.
· Experience with publication workflow systems or database management systems.
· Experience transcribing interviews.
