What are the responsibilities and job description for the Development Associate position at The Book Fairies?
The Development Associate (25-30 hours per week), reporting to the Associate Executive Director, supports Book Fairies’ mission to increase access to books and literacy resources by performing development tasks that support the everyday fundraising and outreach functions of the organization.
The ideal candidate is dependable, organized, and comfortable working in a warehouse environment while supporting a mission-driven nonprofit.
Key Responsibilities
- Provide day-to-day administrative support to leadership and departmental teams
- Manage calendars, scheduling, meeting coordination, and follow-up communications
- Answer phones, monitor shared email inboxes, and respond to inquiries in a timely and professional manner or directed to the appropriate staff member
- Maintain organized digital and physical filing systems through accurate data entry, document preparation, reporting, and recordkeeping
- Support event setup, breakdown, and on-site logistics for book fairs and special programs
- Draft and coordinate donor acknowledgment letters and stewardship communications
- Maintain donor records and update CRM/database information
- Support fundraising campaigns, mailings, and special events
- Help track donations, sponsorships, and in-kind contributions
- Prepare materials for grant applications, impact reports, and donor meetings
- Coordinate event RSVPs, sponsorship fulfillment, and fundraising logistics
- Support planning and execution of community book fairs and literacy programs by organizing program materials, signage, and participant resources
- Assist with communication and coordination with schools, libraries, shelters, and nonprofit partners by supporting outreach and development efforts through email, phone, and community engagement
- Perform additional administrative and operational duties as assigned to support organizational growth and mission impact
- Represent Book Fairies in a professional and friendly manner when interacting with donors, volunteers, and community members
Qualifications
- High school diploma or equivalent preferred
- Previous non-profit experience is a plus
- Knowledge of Salesforce NPSP platform preferred
- Strong attention to detail and organizational skills
- Ability to work independently and as part of a team
- Dependable with strong work ethic and punctuality
- Interest in supporting literacy and education initiatives is strongly preferred
- Must be able to successfully pass a criminal and DMV background check
Physical Requirements
- Ability to sit, stand, walk, bend, and reach for extended periods of time
Work Schedule
- Standard hours will include Tuesday through Thursday 9:00 AM – 3:00 PM, Monday and Friday hours will vary weekly - flexibility in scheduling is required
- Schedule may include occasional evenings or weekends, particularly when supporting community book drives. Community Book Fairs, and other events as required
Compensation
- Hourly pay range: $24.00 - $26.00 per hour, depending on experience and qualifications
- This is a non-exempt position eligible for overtime in accordance with New York State and federal labor laws
