Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations within our dynamic office environment. The ideal candidate will possess strong administrative, supervisory, and communication skills, with experience in office management, event planning, and human resources. This role involves coordinating various administrative functions, managing staff, and ensuring smooth office workflows to support overall business success.
Duties
- Oversee daily office operations, including front desk management and multi-line phone systems
- Supervise administrative staff and coordinate team training & development initiatives
- Manage calendar scheduling, appointment setting, and event planning for company functions
- Handle vendor management, including negotiating contracts and maintaining supplier relationships
- Maintain accurate bookkeeping, payroll processing, and budgeting activities using QuickBooks or similar software
- Oversee human resources functions such as employee onboarding, file management, and compliance documentation
- Ensure efficient filing systems and record keeping for medical or general office needs
- Implement and enforce office policies to promote a professional work environment
- Provide excellent phone etiquette and customer service to clients, vendors, and visitors
- Assist with special projects related to office management or medical office operations as needed
Requirements
- Proven experience in office management or administrative roles with strong organizational skills
- Supervising experience with the ability to lead and motivate a team effectively
- Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
- Knowledge of vendor management, payroll processing, budgeting, bookkeeping, and human resources practices
- Experience in event planning and coordinating training & development programs
- Excellent communication skills with professional phone etiquette
- Strong organizational skills with attention to detail and multitasking abilities
- Background in medical office management or clerical experience is a plus
- Demonstrated ability to manage schedules efficiently and handle administrative responsibilities with professionalism
