We are a fast-growing real estate team based on Long Island seeking a highly organized, dependable, and motivated Part-Time Executive Assistant / Operations Coordinator to help manage the day-to-day operations of our business.
This role is ideal for someone who thrives in a fast-paced environment, is detail-oriented, team-focused, and can help keep our schedules, systems, client communication, and marketing efforts running smoothly.
The right candidate should be proactive, professional, tech-savvy, and comfortable wearing multiple hats in a real estate-driven business.
Responsibilities Include:
- Managing day-to-day scheduling and calendar coordination
- Coordinating and scheduling buyer consultations, seller consultations, showings, and appointments
- Following up with leads, clients, and prospects in a timely and professional manner
- Assisting with weekly team meeting scheduling and coordination
- Preparing open house materials and other listing/event support items
- Managing and updating CRM systems and helping maintain client workflows
- Assisting with creation of team meeting materials, presentations, and internal organization
- Handling inbound calls, messages, and general appointment coordination
- Supporting light marketing and social media brainstorming / content ideas
- Helping streamline systems and improve overall business operations
- Providing general administrative and operational support as needed
Qualifications:
- Strong organizational and time management skills
- Excellent communication skills (phone, text, email, and client-facing professionalism)
- Ability to multitask and stay calm under pressure
- Must be dependable, punctual, and highly detail-oriented
- Team-oriented mindset with a positive attitude
- Comfortable taking initiative and solving problems independently
- Previous experience in real estate, administrative support, executive assistance, or operations is strongly preferred
- Must be comfortable working in a fast-paced, service-based environment

- Zoom
- Google Meet
- Google Calendar / Google Workspace
- CRM platforms (real estate CRM experience is a plus)
- Social media platforms (Instagram, Facebook, etc.)
- Basic document creation, scheduling, and task organization tools
Job Types: Full-time, Part-time
Pay: $18.00 - $25.00 per hour
Expected hours: 5 – 20 per week
