Job Summary: This position operates in two roles: Executive Assistant to the CEO of the company, who is also the company’s Lead Broker. This dual role breaks down as 20% in an executive assistant role under the CEO, and 80% in helping the Lead Broker manage transactions. Accordingly, the job demands expertise in a wide variety of responsibilities including daily interface with the administrative manager, keeping track of transactions in play and scheduling most of the activities of the Lead Broker.
Daily / Weekly / Monthly Responsibilities:
- Maintain and update CRM daily with calls, emails, and meeting notes.
- Track each deal from listing to closing — deadlines, contingencies, attorney coordination, and escrow milestones.
- Schedule and confirm property tours, calls, and meetings.
- Handle routine follow-up emails and task reminders for the Lead Broker.
- Continually maintain accurate pipeline in sync with deal file management.
- Manage inbound inquiries before distributing to salespeople.
