The Senior Loan Software Administrator shapes the backbone of the mortgage operation and serves as the primary expert and strategic owner of the Organization’s Loan Origination Systems (LOS). This role oversees system governance, leads configuration and optimization efforts, and ensures the LOS supports efficient, compliant, and scalable mortgage operations. This role supports other administrators and staff and works closely with cross‑functional teams to align system capabilities with business needs.
Essential Duties and Responsibilities
System Administration & Support
- Serve as subject matter expert for assigned areas of the Encompass platform, including configuration, system upgrades, patches, new feature releases and best practices
- Administer user access, personas, and security settings
- Maintain system configuration and support day-to-day platform operations
- Monitor system performance and escalate issues as needed
Configuration & Optimization
- Configure workflows, automation rules, custom fields, and forms
- Support optimization of loan templates, milestone tasks, and pipeline views
- Implement and maintain integrations with third-party systems (AUS, eClosing, etc.)
- Troubleshoot and resolve system-related issues
- Ensure data integrity, system performance, and reliability across all environments
Collaboration
- Mentor and support Encompass administrators or system analysts.
- Collaborate with Operations, Compliance, Secondary and IT to support business goals.
- Act as the primary liaison with ICE Mortgage Technology and external vendors.
- Act as a key point of contact for internal stakeholders and vendors
- Participate in cross-functional projects and system initiatives
Compliance & Quality Assurance
- Ensure Encompass configuration aligns with federal, state, investor, and internal compliance requirements.
- Partner with Compliance and QC teams to implement regulatory updates and audit‑ready controls.
- Maintain detailed documentation of system changes, testing results, and version control.
Reporting & Analytics
- Develop and maintain reports and dashboards and analytical tools
- Provide data and insights to support operational decision-making
Qualifications for Success
- Bachelor’s degree in Information Systems, Computer Science, Business Administration, Finance, or a related field preferred.
- High school diploma or GED required, combined with a minimum of seven (7) years of progressively responsible experience in mortgage loan origination systems (LOS) administration or a related technical systems role, may be considered in lieu of a degree.
- Equivalent combinations of education and experience will be considered.
- Must hold current certification in ICE Mortgage Technology Encompass
- Must hold a recognized JavaScript certification or demonstrate equivalent scripting and automation experience.
- Minimum seven (7) years of hands-on experience supporting or configuring the Encompass platform.
- Advanced experience with Encompass SDK, APIs, workflow automation, and system configuration required.
- Experience with loan origination and mortgage lifecycle processes from application through post-closing required.
