Essential Duties and Responsibilities
- Schedule surgical procedures in accordance with physician availability, facility schedules, and patient preferences.
- Coordinate surgery dates, times, and locations with hospitals, ambulatory surgery centers, and other healthcare facilities.
- Obtain and verify insurance authorizations and referrals prior to scheduling procedures.
- Educate patients regarding surgical preparation, pre-operative testing, arrival times, and post-operative appointments.
- Communicate with physicians, nurses, anesthesia providers, and facility staff to ensure all surgical requirements are met.
- Verify patient demographics, insurance information, and medical records for accuracy.
- Ensure all required documentation, laboratory results, imaging studies, and medical clearances are received before surgery.
- Schedule pre-operative and post-operative appointments as directed by the provider.
- Maintain accurate scheduling records within the electronic medical record (EMR) system.
- Respond to patient questions and concerns in a professional, compassionate, and timely manner.
- Manage schedule changes, cancellations, and urgent add-on procedures while minimizing disruptions.
- Maintain compliance with HIPAA regulations and organizational policies regarding patient confidentiality.
- Perform additional administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; associate degree or medical administrative certification preferred.
- Minimum of 1–2 years of medical scheduling or healthcare administrative experience preferred.
- Previous surgical scheduling experience strongly preferred.
- Knowledge of medical terminology, surgical procedures, and insurance authorization processes.
- Experience using electronic medical record (EMR) systems and Microsoft Office applications.
- Excellent organizational, time management, and problem-solving skills.
- Strong verbal and written communication skills.
- Ability to work independently while collaborating effectively with physicians, clinical staff, and patients.
- Ability to prioritize multiple tasks in a fast-paced healthcare environment.
