Description
Provide project and administrative support to the Strategic Partnerships & Industry Relations team during pre-show, on-site, and post-show phases. Assist in managing media, conference, and partnership-related projects to ensure priorities and deadlines are met. Serve as a point of contact for media, exhibitors, and partners regarding trade show media activities and partnership programs. Support conference production by updating session content across multiple conferences, assisting with speaker coordination, and preparing presentation materials. Contribute to communications, including social media, emails, and press-related materials, and maintain reports, lists, and program resources.

Duties and Responsibilities
- Maintain the internal production schedule/calendar (editorial, press conferences, events, etc.) for the trade show media program and coordinate project flow with internal teams and external partners.
- Monitor project timelines and ensure deliverables are completed on schedule.
- Serve as an initial point of contact for media, exhibitors, partners, and consultants.
- Participate in brainstorming and planning sessions across media, conference, and partnership initiatives.
- Collaborate with internal staff and external stakeholders, and regularly communicate project status updates to the supervisor and team.
Media & PR Support:
- Support coordination of the public relations program, including working with media vendors, assisting with timelines, and tracking performance (web and press analytics).
- Coordinate the internal review and approval process for press releases to ensure deadlines are met prior to distribution.
- Contribute to communications by drafting and editing content for newsletters, social media, and email, and providing input and feedback on press releases.
- Conduct research to support public relations planning and media outreach.
- Assist in planning and executing PR events, campaigns, and media activities.
Conference Support:
- Update and maintain website content for conference sessions across multiple conferences to ensure accuracy and timeliness.
- Create and prepare presentation slides for speaker introductions and sessions across multiple conferences.
- Support speaker coordination and communication in collaboration with the conference producer.
- Serve as an on-site representative during the conference, assisting with session execution and speaker support.
Partnership Support:
- Assist with the coordination and execution of partnership programs and deliverables.
- Support partner communications and respond to inquiries related to partnership opportunities and benefits.
- Maintain partnership materials, reports, and tracking documents
Administrative Support:
- Maintain organized files (digital and physical) and update databases and spreadsheets related to department activities.
- Provide general administrative and clerical support to the team.
- Support activities aligned with AMT’s strategic plan.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree in public relations, communications, marketing, business, or a related field preferred; equivalent professional experience considered.
- 2–3 years of relevant experience in public relations, communications, events, conferences, or related fields.
- Working knowledge of public relations practices, media coordination, and/or event or conference support.
- Strong organizational and project coordination skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Professional communication and customer service skills when interacting with media, exhibitors, partners, vendors, and internal stakeholders.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with databases, content management systems, or PR tools a plus.
- Strong attention to detail and ability to manage processes such as content updates, approvals, and tracking.
- Ability to prioritize work independently, take initiative, and proactively resolve issues.
- Strong written and verbal communication skills, including experience contributing to professional communications.
- Ability to work both independently and collaboratively as part of a team.
Working Conditions
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
