OFFICE OF INSTITUTIONAL ADVANCEMENT

The Institute’s Office of Institutional Advancement (OIA) is a central division focused on Institute-wide donor and prospect engagement. Areas of practice include principal and major gift fundraising, corporate and foundation relations, annual giving and membership programming through the Institute’s Aspen Society, planned giving, trustee engagement, major events, stewardship, research, gift accounting, and advancement communications.

About This Role

The Advancement Coordinator will support the organization’s enterprise-wide individual and organizational fundraisers. In this role, the Coordinator will spend approximately 70% of their time providing support to the Major & Principal Gifts team, with the remaining 30% supporting the Corporate & Foundation Relations team.

The Coordinator will help create materials to prepare and support frontline fundraisers in their identification, cultivation, solicitation, and stewardship of donors, including meeting and event materials, gift agreements, and invoices. The Coordinator will assist in tracking information about donors and prospects in the CRM database. Additionally, the Coordinator will provide some support for donor events and internal meetings.

As the Institute is in the midst of a large-scale fundraising campaign, it is integral that the Advancement Coordinator exhibit strong organizational ability, professionalism, attention to detail, and prioritization skills in a rapidly moving environment.

This role will report to the Senior Manager of Philanthropic Operations, and work directly with the Senior Directors of both Major & Principal Gifts and Corporate & Foundation Relations, gaining exposure to the fundraising cycle for both individuals and organizations. The salary range for this position is $55,000 - $63,000. The expectation is for this role to be based in our Washington, D.C. office, and the person to be in the office in keeping with Institute policy, currently a minimum of two times a week.

What You Will Do

Data Management

  • Serve as the liaison between the Major & Principal Gifts/Corporate & Foundation Relations teams and the Advancement Operations team, requesting research, materials, reports, and other relevant information on behalf of Major & Principal Gifts and Corporate & Foundation Relations.
  • Work closely with both Major & Principal Gifts and Corporate & Foundation Relations teams to translate the needs of frontline fundraisers into actionable requests for the Operations team.
  • Prepare materials received from the Operations team, such as donor and prospect reports, for use and review by frontline fundraisers, senior Institute leaders, and external stakeholders.
  • Responsible for reviewing donor recognition listings for Major & Principal Gifts and Corporate & Foundation Relations teams.
  • Assist with tracking and supporting portfolio management for both Major & Principal Gifts and the Corporate & Foundation Relations teams.
  • Responsible for entering and tracking data in the CRM on behalf of the Major & Principal Gifts and Corporate & Foundation Relations teams, including updating biographical and donor-related information and logging interactions for the Senior Director, Principal Gifts, when appropriate in conjunction with the Advancement Operations team.

Event Support

  • Support the Major & Principal Gifts and Corporate & Foundation Relations teams in creating meeting and event briefs to be used both internally and externally for donors.
  • Working in conjunction with the Special Events team, assist with donor events and functions for both Major & Principal Gifts and Corporate & Foundation Relations, including tracking RSVPs, logistical support, correspondence with attendees, and staffing events as appropriate.

Donor Management Support

  • Responsible for the administrative actions related to gift agreements and invoices for Major & Principal Gifts and Corporate & Foundation Relations.
  • Responsible for collecting materials needed for donor cultivation, which includes interacting regularly with both OIA team members and colleagues across the Institute.

What You Need To Thrive

  • BA degree and 1 year of relevant experience required.
  • Proficiency with Microsoft Excel in a professional environment including sorting, filtering, curating, and drawing conclusions from data sets, as well as an interest in learning fundraising-specific applications.
  • Experience with CRM database management, especially Salesforce, preferred.
  • Highly motivated, adaptable professional who can work comfortably in a high-paced and detail-oriented team environment.
  • Excellent interpersonal skills and experience working with organizational leaders. Ability to represent the Institute to high-level donors in a positive, knowledgeable, and professional manner.
  • Excellent administrative and organizational skills, with an emphasis on time-management, attention to detail, and the ability to organize and implement various activities within a deadline-driven environment.
  • Strong writing and proofreading skills.
  • Ability to work with data to identify trends and opportunities.
  • Keen sense of personal integrity and discretion with handling sensitive information.
  • Interest in fundraising, current events, and trends and ideas related to the Institute's work and mission.
  • Proficiency with Microsoft Office, including Outlook and Word.
