About the Role:
We’re seeking a Time System Coordinator to join our team and take charge of maintaining and processing employee time records with precision and care. This pivotal role ensures payroll accuracy, supports cross-departmental collaboration, and provides training and guidance to staff on timekeeping protocols.
This position reports to the Assistant Director of Payroll Operations.
Essential Duties and Responsibilities:
- Maintain and process employee time records with accuracy and completeness
- Review time entries for proper authorization and compliance
- Collaborate with departments to meet timekeeping deadlines and uphold protocols
- Track specialty time inputs (e.g., Stepping Stones School, Manager/Supervisor sub hours)
- Manage updates for transfers, schedule changes, terminations, and new hires
- Train Program Managers, Assistant Directors, and exempt staff on timekeeping tools
- Analyze payroll reports and timesheets for departmental review
- Conduct weekly audits and submit findings to Directors
- Finalize time records and prepare export files for Primepoint integration
- Serve as the go-to resource for time system inquiries
- Maintain strict confidentiality of all payroll and employee data
- Organize and maintain a comprehensive digital filing system for time and payroll records
- Provide occasional clerical assistance and contribute to special payroll projects
Education / Work Experience / Skills:
- High school graduate, at least one year of college preferred
- At least two years of Time System or Payroll processing experience required
- Proven experience in payroll and/or timekeeping systems
- Strong analytical and organizational skills
- Excellent communication and training abilities
- Proficiency in Excel and timekeeping software
- Commitment to confidentiality and data integrity
Job Type: Full-time
Pay: $41,000.00 - $50,000.00 per year
