Job Summary:
To organize and perform the administrative duties required within the Day Services Program and support the Program Management Team.
Expectations:

Responsibilities:
- Maintain electronic records to assure retention and retrieval of agency/program documents and reports in such a way that they meet OPWDD regulatory standards; Which could include process, procedure, and maintaining the archives of person supported files
- To organize and conduct the duties and functions necessary to aid in the efficient operation of the Day Services.
- Coordinate and keep records of the interview process for prospective new Day Services Employees. This could include setting up interviews, checking references and following up with HR on candidates for employment
- Perform administrative functions for the AED of Day Services to ensure efficient running of the Day Services Administration office. Including processing of correspondence, arranging /coordinating meetings, answering phone and appropriately passing on messages to the AED, Maintaining all office records and files.
- Perform secretarial functions including typing, filing, copying, collating, transcribing and word processing.
- Maintain organization of Day Services office space and equipment.
- Follow established procedures which coordinate paperwork as required between Day Services and other Agency departments/collateral Agencies.
- Gather & Maintain records and other information required by the AED of Day Services. This could include Intake need document gathering and tracking.
- Process and record requisitions needed by the AED of Day Services or the Program Directors of Day Services.(all requisitions for cost center 350)
- Ensure that new employees have the technical support needed (fill out paperwork for computer usage & have correct access to shared files) and provide training on the usage of computer systems & programs
- Participate in required in-services and training to promote personal and professional growth.
- Other duties as needed by the Program and AED
- Maintain valid licenses {including driving license, as applicable], certifications or any other credentials that are required or necessary to carry out the responsibilities upon and throughout employment.
Qualifications:
High school diploma/GED and 2 years office experience preferred. Demonstrated competencies in organization, communication (written and oral), Computer software including Excel and Word.
