Job Title: Events Coordinator
Location: Onsite – NYC, Fifth Avenue, New York, NY
Contract Duration: Through June 30, 2026 (Extension possible based on budget)
Travel Requirement: Travel to venue locations across the East Coast is required
Rate: $34-$36/ hour
The Events Coordinator will play a pivotal role in supporting high-impact event operations across the East Coast, with a primary base in New York City. This role is designed to augment the existing team during a peak workload period and will focus on end-to-end event planning, logistics coordination, and stakeholder engagement. The successful candidate will work closely with executive leadership and contribute to shaping employee culture and experiences through well-executed events.
Responsibilities
Venue Sourcing & Logistics
- Identify and secure hotels and meeting spaces across East Coast cities
- Coordinate hotel blocks, meeting room layouts, and shuttle transportation
Event Planning & Execution
- Develop event agendas, catering menus, and communication templates
- Manage “Event-in-a-Kit” preparation including ordering materials and assembling event packs
- Ensure readiness for all scenarios including contingency planning
Stakeholder Engagement
- Collaborate with internal teams and external vendors to ensure seamless execution
- Provide executive-level support during onsite events
Performance & Reporting
- Track project milestones and deliverables
- Report on task completion, time management, and quality of event concepts
Required Qualifications
- 5–7 years of large-scale event planning experience, particularly at offsite hotel/conference venues
- Proven project management and task tracking capabilities
- Exceptional time management and organizational skills
- Proficiency in event logistics, vendor coordination, and stakeholder communication
- Ability to work onsite and travel as needed across East Coast venues
- Familiarity with standard office software and planning tools
Preferred Qualifications
- Experience supporting executive-level events or high-profile industry gatherings
- Background in program management with a focus on employee engagement or culture initiatives
- Creative mindset with a track record of ideation and concept development
- Exposure to AI industry events or technology-driven environments
Job Types: Full-time, Contract
Pay: $34.00 - $36.00 per hour
