- Bachelor’s degree
- Minimum of two years experience in an office environment at an institution of higher education.
- Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks efficiently in a fast-paced environment.
- Effective communication skills, demonstrated in a grammatically correct, articulate, and concise cover letter.
- Experience using Banner Student Information System.
- Experience using Microsoft Office, specifically Outlook, Word, Excel, and Teams.
Preferred Qualifications
- Master’s degree, preferably in higher education, business, information systems, or a related field.
- Minimum two years of supervisory experience demonstrating leadership and professionalism.
- Basic understanding of TXST administrative software: BDMS, LOGI, CampusESP, TDX, Parchment, various NETs.
- Experience working in a Registrar’s Office of a 4-year, state-funded institution.
- Experience with reviewing and maintaining academic records.
- Experience in transcript and diploma production.
- Experience trouble shooting student registration.
- Demonstrated punctual and excellent attendance.
- Willing to occasionally work outside of normal business hours.
Job Description
This position is responsible for the day-to-day management oversight of customer service and administrative duties in the student records area. This position requires knowledge of institutional policies, procedures, and practices of the Office of the University Registrar and Texas State University. The job duties performed impact enrollment, registration, graduation, records integrity, and reporting. This position is one of the primary points of contact for students, parents, faculty, staff, and visitors to the Office of the University Registrar.
Job Duties
- Supervision: Oversees personnel in the Student Records area, including full-time, part-time, temporary staff, graduate assistants, and student workers. This includes hiring, training, developing, supervising, and evaluating staff to accurately carry out processes completed by the student records area. This includes ensuring that the area provides excellent customer service to all stakeholders.
- Accurate Student Records and Processes: Maintain accurate and complete student records for current and former students in the student information system (Banner) and related software services (BDMS, TDX, Parchment, etc.) and paper files in accordance with the university retention schedule. This also includes: managing the document imaging and indexing process for student records (BDMS); monitoring, researching and reconciling data discrepancies to correct student records; managing the production of academic records (enrollment. Degree verifications, transcripts, diplomas) maintaining strict confidentiality and upholding FERPA regulations.
- Diploma Production: Oversees mass awarding of degrees, diplomas, and processes related to graduation. This includes: mass awarding of degrees at the end of each term, overseeing processes related to graduation reinstatements, creating of diplomas, printing of diplomas, and diploma pickup at the end of the term. Managing diploma requests and duplicate diploma printing throughout the year. Coordinating and managing diploma cover processing in preparation for Commencement each term with the Administrative Assistant III.
- Policy and Procedure Manuals: Manage the development and maintenance of internal procedure manuals.
- Other Duties as Assigned: Perform other duties as assigned by the Associate University Registrar.
