Work Hours:

Monday through Friday, 40 hours a week with occasional evening, weekend hours and holidays. Hours may change based on business need.

Qualifications

Minimum Qualifications

Education:

Graduation from an accredited college or university with a bachelor’s degree.

Experience:

  • Two (2) years of experience working with Records Management and related areas.
  • Experience working with state or federal records management laws
  • Experience handling storage or disposition of records.
  • Experience in training employees or presenting training programs.
  • Experience with oversight of the classification, storage, access, and retrieval of agency records and information.
  • Experience with design and implementation of filing systems and filing procedures.
  • Experience with or coordinating the transfer of agency records to storage and the destruction of records that have met retention requirements.

Preferred Qualifications

Preferred Education:

Graduation from an accredited college or university with a degree in business administration, library science or a social science field.

Preferred Experience:

  • Knowledge in the development and implementation of goals, objectives, policies, and priorities for the management of records; and the effectiveness of the agency’s record-keeping practices and records management systems and proposes recommendations for improvement.
  • Knowledge of state and or agency records management laws, regulations and policies.
  • Some state agency experience is preferred.

Substitution:

  • One (1) additional year of working with Records Management; working knowledge of state or federal records management laws; experience in training employees or presenting training programs may be substituted for thirty (30) semester hours of the required education with a maximum substitution of 120 semester hours (four years).

Licenses and Certifications

Preferred: Certified Records Analyst (CRA)

In this role you will:

  • Provides advanced consultative and technical assistance for the Records Management Program as the Assistant Records Manager. Assists in overseeing and implementing the agency’s records management program, including retention, disposition, retrieval, protection and storage. Collaborates in the planning, development, implementation, analysis and documentation of program. Markets record management programs to encourage and/or improve interest and understanding within the agency. Monitors, reviews, and evaluates compliance with program policies and procedures and prepares administrative reports. Tracks and identifies trends in records and information management and resolves operational problems.
  • Develops analysis and prepares reports of findings and recommendations and prepares justifications for policy changes. Collects, organizes, analyzes, and prepares materials in response to requests for program information and reports. Regularly analyzes records management practices and recommends improvements in records handling, storage and disposition.
  • Plans, develops, and implements internal agency training programs; provides needed internal and external training and assistance. Manages internal database.
  • Analyzes legislation and rules related to records management and program operations. Researches, prepares, and analyzes reports. Handles special projects for management.
  • Preforms other related work as assigned.
