This position will also handle all Student Enrollment Services (SES) office supply ordering as well as facilitate the smooth running of the SES office suite. In addition, this position will order all SES recruiting materials and will participate in supporting recruiting events such as leading check-ins and creating material for events. Qualifications Required Education: Bachelor’s degree or equivalent combination of education and experience. Required Experience: Four years of related experience in general office, accounting, or personnel operations. Preferred Education: None Preferred Experience: Experience in Accounting, Data Base, Spreadsheets, Purchasing, Inventory Required Licenses and Certifications: None Preferred Licenses and Certifications: None Required Special Knowledge, Skills, and Abilities: Knowledge of word processing and spreadsheet applications. Preferred Special Knowledge, Skills, and Abilities: None Job Responsibilities 45%: Office and Account Management Manages all SES office supply ordering as well as facilitating the smooth running of the SES office suite. Monitors and manages all SES recruiting material ordering, including but not limited to publications, promotional items, and supporting material. Maintains inventory control for all recruitment. Reconcile Student Enrollment Accounts and review all payroll, time keeper, and HR contact for the department. Ensure that Texas A&M University purchasing guidelines to purchase pre- approved items from contracted vendors when purchasing for recruiting are within the TAMU guidelines. 40%: Scholarship and Award Management Award and process all TAMUG scholarships as well as ensuring the recipients fulfill their scholarship obligations. Review and ensure all recipients have met their scholarship obligations. Serves as an approver and back up signer of vouchers and requisitions. Reviews and audits reconciliations of all accounts. Coordinates fiscal activities with little direct supervision. Audits and approves cash handling activities and may oversee unit purchasing activities. Serves as liaison with financial, payroll and/or human resources. Develops, implements and audits business procedures upon approval and advises upper administration. Manages maintenance of all business files. May manage personnel activities, coordinates and audits personnel files, and reviews and approves leave requests. Composes standard and ad hoc reports and business-related correspondence. May manage inventory process. Serves as records management coordinator for historical financial data. 10%: Event Responsibilities Leading check-in and creating materials for events. 5%: Other Duties Performs other duties as assigned.
