Job Description

Purpose:

Works under general supervision to coordinate administrative support for Construction, Geotechnical and Structural Engineering Division within the Civil & Environmental Engineering Department, while also supporting broader departmental operations. Exercises discretion and independent judgment with respect to matters of significance. Provides guidance and oversight to student workers and supports efficient and effective administrative services.

Responsibilities:

Administrative Coordination and Operations

  • Coordinates administrative support functions for an assigned division within the department.
  • Plans and organizes administrative activities and services.
  • Assists in developing and implementing administrative objectives and strategies.
  • Participates in the planning and execution of administrative operations.
  • Assists in resolving operational issues and improving processes.

Student Worker Oversight

  • Provides guidance, training, and day-to-day oversight of student workers.
  • Assigns tasks and monitors work for accuracy and timeliness.
  • Assists with onboarding and training of student employees.
  • Ensures adherence to departmental procedures and expectations.

Administrative Support Services

  • Provides administrative support to division and departmental personnel, including faculty and staff.
  • Assists with coordination of routine administrative processes such as onboarding, documentation, and reporting.
  • Coordinates logistics for meetings, committees, and activities.
  • Provides guidance on internal administrative procedures and resources.

Budget and Financial Support

  • Assists in the development and monitoring of budgets.
  • Supports financial tracking and reporting activities.

Policy and Procedure Support

  • Assists in the implementation of departmental policies and operating procedures.
  • Develops and maintains administrative procedures to support operations.
  • Monitors compliance with established policies and procedures.

Project and Process Support

  • Monitors project timelines and identifies issues.
  • Assists in conducting analyses and preparing project summaries and reports.
  • Recommends process improvements and administrative enhancements.
  • Supports evaluation of administrative support functions.

Records Management

  • Coordinates records retention activities.
  • Maintains office reference materials and resources.

Event and Travel Coordination

  • Coordinates travel arrangements and prepares itineraries.
  • Plans and coordinates meetings, seminars, and special events.

What We Need:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Three years of related experience.

What is Helpful:

  • Experience in a higher education or administrative environment.
  • Experience supporting administrative operations and processes.
  • Experience overseeing student workers.

Required Knowledge, Skills, And Abilities

  • Knowledge of standard office software applications, including word processing, spreadsheets, and databases.
  • Ability to organize work effectively and prioritize multiple tasks.
  • Ability to exercise discretion, independent judgment, and initiative.
  • Strong interpersonal and communication skills.
  • Ability to multitask and work cooperatively with others.
  • Strong planning and organizational skills.
