We are growing and looking for an energetic, detail-oriented, team player to support our daily operations. As the Receptionist and Office Coordinator, you represent the company by being the first contact in person or on the phone. You will create a welcoming atmosphere and have a pleasant demeanor and professional appearance. You will collaborate with our marketing, human resources, sales, product development, and production teams and assist in various marketing tactics and everyday office duties. The ideal candidate will have experience in customer service and support, marketing, administrative, or human resources. This position is part of the Marketing Department and reports to the Executive Assistant to the President.
Schedule: Monday – Friday 7am to 3pm, Full-Time, On-Site at 925 Canal St. Bristol, PA 19007

Key Job Responsibilities:
- Greet, welcome, and assist visitors with professionalism and warmth; answer and direct phone calls, and provide general information and support
- Handle inquiries from customers and employees, ensuring accurate and timely response
- Organize and maintain physical and digital files; prepare, edit, and manage confidential documents
- Manage daily office operations including mail handling, supply inventory, printer and equipment functionality and maintenance scheduling, and general upkeep of the reception area
- Perform administrative tasks such as data entry, photocopying, filing, and secure document disposal
- Coordinate and manage lunch orders for meetings and events ensuring dietary needs and timely delivery
- Plan and support internal and external meetings, conferences, and travel arrangements
- Maintain and monitor conference room inventory and readiness
- Support the marketing and sales teams with administrative tasks, reporting, and presentation preparation
- Manage and update CRM system and customer marketing lists.
- Assist with employee onboarding, training coordination, and record maintenance.
- Manage inventory by tracking stock levels and reordering supplies as needed.
- Provide flexible support across various office functions, adapting to departmental needs and ensuring efficient assistance wherever required.
- Create, update, and maintain PowerPoint presentations
- Perform other duties as assigned.
Position Requirements:
- 3 Years experience in a supporting office role (Admin Assistant, HR/Marketing Assistant or Clerk)
- Knowledge of MS Office products – Outlook, Word, Excel, Power Point, Teams, etc.
- High energy, attention to detail, personable
- Ability to organize and prioritize work and able to juggle several projects at once
- Excellent communication and organizational skills
- Passion for driving the Company culture
- Self-motivation and a desire to learn a very interesting and challenging industry
