Project Coordinator

Salary Range: $65-75k depending on relevant experience.
Summary
The Project Coordinator supports preconstruction and job setup activities to ensure projects are fully prepared for execution. This role works closely with leadership, clients, and municipalities to manage bid processes, documentation, and communication while maintaining accurate records and delivering strong customer service. The position plays a key role in driving efficiency, organization, and continuous improvement in a fast-paced, growth-focused environment.
Duties and Responsibilities
• Respond to client communications with urgency and professionalism
• Provide high-level customer service and resolve issues as needed
• Manage bid requests including scheduling preliminary and final submissions
• Coordinate and respond to municipal and county comments on design plans
• Prepare jobs for execution, ensuring all required documentation is complete
• Maintain and update SmartSheets and shared folders for project tracking
• Create and manage purchase orders in QuickBooks
• Handle billing for engineered plans and permitting
• Follow up on certifications, compaction letters, and post-bid communication
• Support leadership with process improvements and operational initiatives
• Maintain accurate job data including billing and change orders
• Perform quality control checks to ensure completeness and accuracy
• Identify and implement continuous improvement opportunities
• Collaborate cross-functionally to ensure smooth project handoffs

• Reduction in delays, downtime, and rework
• Timely and effective communication with clients and stakeholders
