Duties
- Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Handle incoming correspondence, emails, and messages promptly and efficiently
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading
- Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
- Assist with billing, bookkeeping tasks using QuickBooks, and basic office management duties
- Support office supply inventory management and ensure the workspace remains tidy and functional
- Provide clerical support such as copying, scanning, faxing, and preparing documents for various departments
- Offer bilingual support to assist diverse clients or team members as needed
- Contribute to a positive office environment through excellent organizational skills and proactive communication
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks for bookkeeping and data entry tasks
- Excellent phone etiquette with experience managing multi-line phone systems
- Strong typing skills with high accuracy; ability to proofread documents effectively
- Customer service-oriented mindset with the ability to handle inquiries professionally in person or over the phone
- Bilingual abilities are highly desirable to support a diverse clientele or team
- Previous experience as a dental or medical receptionist is a plus but not required
- Demonstrated time management skills to prioritize tasks efficiently in a fast-paced environment
- Personal assistant or calendar management experience is beneficial for supporting team schedules
