Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you'll be the friendly first point of contact for clients, visitors, and staff, ensuring smooth front desk operations and providing essential administrative support. Duties

  • Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and messages promptly and efficiently
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Assist with billing, bookkeeping tasks using QuickBooks, and basic office management duties
  • Support office supply inventory management and ensure the workspace remains tidy and functional
  • Provide clerical support such as copying, scanning, faxing, and preparing documents for various departments
  • Offer bilingual support to assist diverse clients or team members as needed
  • Contribute to a positive office environment through excellent organizational skills and proactive communication

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with QuickBooks for bookkeeping and data entry tasks
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Strong typing skills with high accuracy; ability to proofread documents effectively
  • Customer service-oriented mindset with the ability to handle inquiries professionally in person or over the phone
  • Bilingual abilities are highly desirable to support a diverse clientele or team
  • Previous experience as a dental or medical receptionist is a plus but not required
  • Demonstrated time management skills to prioritize tasks efficiently in a fast-paced environment
  • Personal assistant or calendar management experience is beneficial for supporting team schedules
