You will be the bridge between clients, coaches, and operations — helping manage bookings, answer inquiries, and keep everything running efficiently.
Key Responsibilities
Client Communication
- Respond to client inquiries via email, phone, and messaging platforms in a timely and professional manner
- Provide information on programs, pricing, scheduling, and policies
- Assist clients in selecting appropriate programs based on level and goals
- Handle client concerns and escalate when needed
- Manage lesson and program scheduling using our booking system (PlayByPoint)
- Coordinate private lessons, group classes, and court reservations
- Optimize schedules to maximize court usage and coach availability
- Handle cancellations, rescheduling, and waitlists
- Assist with daily administrative tasks related to programming and court usage
- Coordinate with coaches to ensure accurate schedules and attendance
- Help manage seasonal registrations and program updates
- Track and update client information and bookings
- Ensure a smooth and positive experience for all clients
- Proactively follow up with clients when needed
- Maintain a high level of professionalism and responsiveness
- Strong organizational and multitasking skills
- Excellent communication skills (written and verbal)
- Customer service experience (preferred)
- Comfortable with scheduling tools and basic software systems
- Ability to work in a fast-paced environment
- Interest in sports/tennis is a plus
